Full Job Description

Location: Jeannette, PA

Schedule: Monday–Thursday, 6:30 AM – 5:00 PM

Position Summary

Tek2K is seeking a detail-oriented Procurement Coordinator to support purchasing and material procurement activities for custom architectural millwork projects. This position works closely with project managers, engineering, production, and vendors to ensure materials are accurately quantified, sourced, ordered, tracked, and available to support project schedules.

Material Take-Offs

Review architectural drawings and specifications to prepare accurate material take-offs.
Utilize Microvellum for casework material take-offs (training provided).
Perform manual take-offs for custom millwork components, including:
Desks
Wall panels
Trim
Plastic laminate components
Solid surface countertops
Verify quantities and communicate questions or discrepancies to the project team.
Maintain accurate material lists for procurement and project tracking.

Material Tracking & Data Entry

Enter material information into Excel tracking spreadsheets.
Organize materials by area and item as directed.
Assign vendors/suppliers to items with guidance from senior staff.
Track and document material lead times.
Maintain organized and up-to-date project tracking sheets.

Purchasing & Vendor Coordination

Solicit and compare vendor quotations for project materials.
Evaluate pricing, lead times, and availability to support purchasing decisions.
Obtain competitive quotations and assist in securing the best value while meeting project requirements and schedule demands.
Create purchase orders in QuickBooks.
Coordinate with vendors regarding pricing, availability, and delivery schedules.
Develop and maintain positive working relationships with suppliers and vendors.
Track purchase orders and update pricing/cost information.
Follow up on orders to confirm delivery dates.

Receiving & Material Verification

Check delivered materials against purchase orders.
Verify accuracy and report any issues, including damage or shortages.
Update tracking sheets to reflect received materials.

Work Order Support

Review work orders for material completeness.
Confirm materials are ordered or available before release to production.
Support coordination between purchasing and the shop.

Project Tracking

Update and maintain procurement tracking in Monday.com.
Communicate material status updates to the team.
Flag potential delays, shortages, or missing items to supervisors.

Key Requirements

Ability to read and interpret architectural drawings, shop drawings, and project specifications.
Comfortable reviewing drawings and performing material take-offs.
Proficient with Microsoft Excel for data entry, tracking, and organization.
Familiarity with Bluebeam Revu or similar PDF markup software.
Strong attention to detail and organizational skills.
Good communication and follow-up skills.
Ability to manage multiple tasks in a fast-paced environment.
Basic understanding of construction, millwork, cabinetry, or materials, or willingness to learn.

Preferred (Not Required)

Familiarity with QuickBooks, Microvellum, Monday.com, or similar software.
Experience in preparing material take-offs from architectural drawings.
Experience in architectural millwork, cabinetry, construction, manufacturing, purchasing, or procurement support roles.
