Job Title: Medical Intake Coordinator

Location: Rochester, NY (Hybrid)

Pay: From $20.00/hr

About Us: At Renew Hope and Healing, our vision is a new landscape of outpatient mental health where individuals and the community are stronger to give and receive love. We are looking for a Medical Intake Coordinator who shares our core values: a passion for healing and a drive to inspire hope.

The Role: This is a highly technical, fast-paced role that goes far beyond general reception. As the first point of contact for our clients, you will be responsible for scheduling new clients with compassion and efficiency, while seamlessly navigating the complexities of medical insurance and electronic health records.

What You Need to Succeed (Required): To thrive in this role, you must bring the following technical skills on day one:

Medical Insurance Expertise (2+ years): You confidently know the difference between a Deductible, Co-Pay, and Co-Insurance, and you know exactly how to verify these on payer portals (Excellus, Medicaid, etc.).
EHR Proficiency (2+ years): You are highly comfortable navigating Electronic Health Records systems and ensuring billing data is perfectly accurate.
Location: You are a local resident able to commute to our Rochester, NY office for a hybrid schedule.

What You'll Do

Serve as the welcoming voice of our practice, matching new clients with the right clinicians.
Manage leads via phone, SMS text, and web form submission, ensuring every client receives a response within 24 hours and a scheduled session within 7 days.
Complete detailed demographic and insurance data entry.
Verify and process medical insurance claims and initiate the Patient Portal.
Maintain strict HIPAA compliance and accurate daily documentation.
