JOB OVERVIEW
The Sr. Executive Assistant provides high-level administrative and strategic support to executive leadership, ensuring the efficient operation of the office. Serves as a trusted partner who manages complex schedules, coordinates priorities, and acts as a central point of contact for internal and external stakeholders.
This is an on-site position based in Battle Creek, Michigan, requiring employee to work from Corporate Headquarters office three days per week (Tuesday, Wednesday, and Thursday).
HERE’S WHAT YOU’LL BE DOING
- Provide proactive, comprehensive support to Executive Leaders, including calendar management, meeting coordination, expense reporting, travel arrangements, and preparation of materials.
- Manage Executive access and time by prioritizing competing demands, resolving scheduling conflicts, and ensuring alignment with business objectives.
- Anticipate and elevate critical issues, ensuring Executives are informed of matters requiring immediate attention.
- Handle highly confidential, sensitive, and proprietary information with the utmost discretion and professionalism.
- Coordinate special projects, strategic initiatives, and large scale management of the Annual Sales Meeting, often involving cross-functional stakeholders.
- Serve as a liaison between Executives, leadership teams, employees, and external partners, fostering effective communication and collaboration.
- Maintain business continuity and seamless operations during Executive absences by managing priorities and responding appropriately to emerging needs.
- Experience tracking and administering cost center overhead budgets and expenditures.
- Demonstrate a strong understanding of organizational priorities, business operations, company policies, and Executive leadership objectives to provide informed support and recommendations.
- Exercise independent judgment, sound decision-making, and exceptional attention to detail in a fast-paced, dynamic environment.
QUALIFICATIONS
- Proven ability to manage multiple priorities and competing demands in a fast-paced, dynamic environment while maintaining a high level of accuracy and professionalism.
- Extensive experience managing complex Executive calendars, including scheduling across multiple time zones, resolving conflicts, and proactively anticipating business needs.
- Exceptional written and verbal communication skills, with the ability to interact professionally and confidently with both internal and external stakeholders.
- Strong project management and organizational skills, with the ability to coordinate and drive multiple initiatives to successful completion.
- Experience supporting and administering HR-related processes, policies, and procedures while ensuring compliance and confidentiality.
- Minimum of 3-5 years of experience providing administrative support to Senior Executives and Executive leadership teams in a corporate environment.
- Experience planning and executing large-scale meetings, events, and leadership gatherings, including responsibility for coordinating high-profile events such as the Annual Sales Meeting.
- Proven ability to handle highly sensitive and confidential information with discretion, sound judgment, and professionalism.
- Experience managing departmental budgets, cost centers, and overhead expense tracking, including budget planning, reporting, and reconciliation.
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams. Experience with Concur and Anaplan.
- Strong attention to detail, organization, problem-solving capabilities, and a proactive approach to identifying and addressing business needs before they arise.
Salary Range: $66,160 - $82,700
Salary pay ranges are determined by role and level. Within the range, the successful candidate’s starting base pay will be determined based on factors including job-related skills, experience, certifications, qualifications, relevant education or training, and local market conditions.
