Full Job Description

Office Manager / In-House Bookkeeper

NOTE: Our office is in Dallas, near I-75 and I-635. Please apply for this position only if that location works for you in terms of a commute.

Ready Roofing & Solar is transitioning from a smaller organization into a much larger one as we take advantage of the enormous opportunities for roofing and solar in the DFW market. We run on EOS (the Entrepreneurial Operating System), and we have an exciting multi-year plan we'll discuss further with qualified applicants.

We are seeking an Office Manager / In-House Bookkeeper to serve as an important backbone of our company. This is a hybrid role: roughly half is day-to-day accounting and bookkeeping, and the other half is office management and administration. It's a ground-floor opportunity with enormous growth potential for the right person.

Accounting & Bookkeeping (roughly half the role)

Own the day-to-day books in QuickBooks Online (QBO): Accounts Receivable (AR), Accounts Payable (AP), transaction entry, reconciliations, invoice processing, and expense tracking
Prepare weekly payroll by collecting timesheets, calculating sales commissions, and processing invoices accurately and on time
Manage collections and stay on top of outstanding AR proactively rather than waiting for problems to surface
Interact with our outside accounting and tax provider for proper coding of transactions, handling questions, and month-end/year-end support
Produce timely, accurate financial reports so leadership always has a clear picture of where the business stands
Help build and tighten financial controls and processes as we scale

Office Management & Administration (roughly half the role)

Act as the company's "go-to" person for all things administration
Become a master of our CRM: creating job estimates, work orders, and payments, and seeing jobs through from start to finish
Maintain HR files and assist with HR matters such as employee onboarding and offboarding
Own our SOP documentation process: identify processes that should be documented, write the SOPs, and maintain master lists of what's completed and what's still needed
Oversee one other administrative position within the company

How this role fits our EOS structure

Take ownership of your seat and the accountabilities that come with it (if you know EOS, you know what an Accountability Chart is; if you don't, we'll teach you)
Help identify and work through issues on our Issues List rather than letting them linger
Each quarter, identify and propose "Rocks" (priorities) for the administrative and accounting areas, then execute them to completion within the quarter
Support our Level 10 rhythm with the reporting, scorecard data, and follow-through that keep the team on track

What we're looking for

Above all, three things:

Proactive problem-solving — you figure things out and take initiative rather than waiting to be told. You identify daily, weekly, and quarterly needs, then either handle them or bring them to management's attention.
Proactive communication — you keep the right people informed, raise flags early, and never leave leadership guessing.
Deadline-driven execution — you accomplish objectives on time, every time. Payroll, close, reporting, and collections don't slip.

Requirements

High school diploma or further education
Minimum 5 years of experience in a higher-level office manager, bookkeeper, or combined administrative/accounting role
Hands-on QuickBooks Online experience with AR, AP, reconciliations, and payroll
Strong math skills and comfort with numbers and financial detail
Excellent verbal and written communication skills
Strong organizational skills with the ability to multitask and prioritize in a fast-moving environment
Ability to handle sensitive and confidential information with 100% discretion
Ability to take in information, process it quickly, and make a decision or recommendation as appropriate
Excellent computer skills including a good working knowledge of MS Office Suite and the ability to learn new applications quickly
Type 70+ WPM
Bilingual a plus, but not required
