Full Job Description

Position Summary

As a Wealth Management Client Service Specialist at Peak American Financial, you will provide operational support to Wealth Management advisors — creating and processing new business applications on their behalf, coordinating account openings and transfers, and handling ongoing client service needs, including real-time document preparation during client appointments.

This role is ideal for professionals with experience in lending, mortgage processing, financial documentation, or other formal document-heavy industries. The right candidate is highly organized, detail-oriented, tech-savvy, and able to think critically and pivot on the fly when changes arise, ensuring every appointment and application moves forward without delay.

Essential Duties and Responsibilities

New Business Processing

Create and prepare new business applications on behalf of advisors using custodian, carrier, and electronic application platforms.
Be available during client appointments to prepare and finalize applications and other critical documents in real time.
Gather required information from advisors and clients and enter information accurately.
Review applications for completeness and accuracy prior to submission.
Submit and track new accounts, rollovers, transfers, annuities, life insurance, and other financial products.
Monitor applications through approval, funding, and completion.
Follow up on outstanding requirements, NIGO items, signatures, transfers, and funding.
Communicate status updates and outstanding items to advisors.
Serve as a Notary

Client Service & Advisor Support

Process ongoing client service requests, including account changes, beneficiary updates, distributions, contributions, transfers, and other maintenance requests.
Prepare and coordinate client paperwork and signatures.
Serve as a primary operational resource for Wealth Management advisors and the processing team, ensuring all applications are complete and ready for submission.
Communicate with custodians, carriers, and other financial institutions on behalf of advisors and clients.
Track service requests through completion and proactively follow up on outstanding items.
Assist advisors with client-related administrative needs and technology platforms.
Provide a friendly, professional, and client-centric experience that makes financial transactions as smooth as possible.

Compliance & Operations

Follow company procedures and applicable processing and compliance requirements.
Ensure compliance with regulatory requirements and company policies when preparing and processing client documentation.
Maintain accurate client records, case notes, and documentation, including an organized tracking system for outstanding items.
Protect confidential client and financial information.
Identify missing or incorrect information before submission to minimize delays and errors.
Assist with creating and updating SOPs, checklists, and processes.
Identify opportunities to improve efficiency and workflow.

Qualifications

High school diploma or equivalent required.
3+ years of experience in lending, mortgage processing, financial services, wealth management, insurance, brokerage, banking, or related operations.
Exceptional written and verbal communication skills for both client and internal interactions.
Proficiency in Microsoft Word, DocuSign, and financial document processing tools.
Critical thinking skills with the ability to quickly assess situations and pivot as needed.
Strong attention to detail and organizational skills.
Excellent written and verbal communication.
Ability to manage multiple priorities and deadlines in a fast-paced, deadline-driven environment.
Strong follow-through and problem-solving skills.
Professional, proactive, and client-service-oriented.
Comfortable working with multiple technology platforms and portals.
Coachable, personable, and a self-starter.
Experience working with confidential financial documents and ensuring compliance with industry regulations.

Pay: $60,000.00 per year
