Payroll & HR Administrator – Organized, Accurate & People-Focused
We are seeking a highly organized, dependable, and detail-oriented Payroll & HR Administrator to join our team. This is a key position within our organization that combines payroll and human resources administration with administrative and executive support.
The ideal candidate is someone who takes pride in accuracy, confidentiality, organization, and follow-through. You enjoy creating structure, keeping important details from falling through the cracks, and making life easier for the people around you. You are comfortable handling sensitive employee and payroll information and understand the importance of completing time-sensitive responsibilities accurately and consistently.
This position will be responsible for the administration of both weekly and bi-weekly payroll, employee timecards, benefits, and other HR-related functions. In addition, this person will help keep our office and leadership team organized by handling administrative responsibilities, coordinating team activities, and providing executive support as needed.
Key Performance Requirements
- Ensure weekly and bi-weekly payrolls are processed accurately and on time
- Review and verify employee timecards, hours, PTO, and other payroll information prior to processing
- Maintain accurate and confidential employee and payroll records
- Ensure employee benefit enrollments, changes, and related documentation are completed accurately and within required timelines
- Respond to employee payroll, benefits, and HR questions promptly and professionally
- Maintain an organized administrative calendar so important employee, company, and leadership dates are never missed
- Proactively follow up on outstanding items and ensure deadlines and commitments are completed
Payroll & HR Responsibilities
- Process weekly and bi-weekly payroll
- Review, verify, and maintain employee timecards
- Track PTO, vacation, sick time, and other employee leave
- Assist with employee onboarding
- Maintain employee personnel files and confidential HR documentation
- Coordinate employee benefit enrollment, changes, and annual open enrollment
- Assist employees with benefits and payroll-related questions
- Maintain employee information and ensure changes are entered accurately and promptly
- Assist with new-hire paperwork and required documentation
- Coordinate and track required employee forms, acknowledgements, and other HR documentation
- Assist with recruiting administration, including job postings, applicant communication, interview scheduling, and follow-up
- Support management with HR-related administrative needs
- Maintain the highest level of discretion and confidentiality when handling employee information
Administrative Responsibilities
- Order and maintain office supplies
- Maintain company calendars, reminders, and important dates
- Track employee birthdays and other recognition opportunities
- Help coordinate birthday celebrations, employee recognition, lunches, and other team events
- Assist with planning company meetings and team events
- Coordinate vendors and office-related services as needed
- Prepare documents, correspondence, reports, and other administrative materials
- Maintain organized electronic and physical files
- Help ensure the office remains organized, supplied, and running efficiently
- Assist employees and managers with general administrative requests
- Provide administrative support to company ownership and leadership
- Assist with calendar management, scheduling, appointments, and meeting coordination
- Help organize leadership priorities and follow up on outstanding action items
- Attend meetings when needed, take notes, and help ensure assigned tasks are completed
- Prepare reports, documents, correspondence, and information requested by ownership
- Coordinate internal and external meetings as needed
- Assist with special projects and company initiatives
- Help reduce administrative workload for ownership by anticipating needs and proactively handling tasks
- Handle sensitive business and personal information with discretion and professionalism
Qualifications
- Previous experience in payroll, human resources, office administration, bookkeeping, or a related field preferred
- Payroll processing experience strongly preferred
- Strong attention to detail and commitment to accuracy
- Excellent organizational and time-management skills
- Ability to manage multiple deadlines and changing priorities
- Strong written and verbal communication skills
- Comfortable working with employees at all levels of an organization
- Proficient with Microsoft Office and comfortable learning payroll, HR, and other business software
- Ability to work independently, identify what needs to be done, and follow tasks through to completion
- High level of professionalism, discretion, and confidentiality
Job Overview & Compensation
Job Type: Full-Time
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Lunch: 1-hour lunch break
Salary: $60,000 per year
