Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is vital in creating a welcoming environment for clients and visitors while efficiently managing administrative tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with office management tools. Bilingual skills are a plus, and previous office or clerical experience is highly valued. This position offers an opportunity to contribute to a dynamic office setting, supporting daily operations and ensuring smooth workflow.

Responsibilities

Greet visitors and clients warmly, providing exceptional customer service.
Flexible to work evenings and weekends.
Manage multi-line phone systems, directing calls appropriately and maintaining professional phone etiquette
Schedule appointments and manage calendar or appointment systems using tools like Google Workspace or Microsoft Office
Perform data entry, filing, and maintain accurate records using QuickBooks or other relevant software
Handle correspondence via email and phone, supporting administrative needs with professionalism
Assist with office management tasks such as organizing supplies, proofreading documents, and managing incoming/outgoing mail
Support bookkeeping activities including basic invoicing or billing tasks as needed
Provide support for front desk operations in medical or dental office settings if applicable
Maintain a clean and organized reception area to ensure a professional environment

Experience

Prior office management, administrative, or clerical experience preferred
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with multi-line phone systems and customer support roles
Familiarity with QuickBooks or bookkeeping software is advantageous
Bilingual abilities are highly desirable to serve diverse client needs
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent typing speed and data entry skills along with attention to detail for proofreading documents
Experience in medical or dental reception roles is a plus but not required
Demonstrated ability to manage calendar scheduling and handle confidential information professionally

Job Types: Full-time, Part-time
