Full Job Description

This is a people-leadership role, not an administrative role.

We are hiring a Front Office Manager to lead the office assistants across all of our Bay Area clinics. You will hire them, train them, set the standard, and hold them to it. If our front offices run well, it is because of you. If they do not, that is your problem to solve.

You will also work a front desk. This is a working manager role, and we want to be straight with you about that up front.

Who you report to and who reports to you

You report to our Director of Operations. You lead our office assistants across five offices. You work alongside our doctors, and partner with our treatment coordinators for exceptional patient experience.

What you will own

Hiring and keeping good people. You run the hiring process for every office assistant: screening, interviewing, recommending offers, onboarding, and the 30/60/90 checkpoints.

Holding the standard. Weekly one-on-ones with every CA against written expectations. When someone is not performing, you have the conversation early, you document it, and you see it through. You handle it so our doctors do not have to.

Front desk performance. You own the numbers at every office: phone answer rate, appointment show rate, confirmations, rebooking, payment collection, and account balances. You report them weekly, and you close the gap between your strongest office and your weakest one.

The playbook. Scripts, checklists, SOPs, training. Every fix gets written down before it gets rolled out, so a new CA ramps from a document instead of from shadowing someone for a month.

Coverage and escalation. You build the schedule across offices, cover PTO and callouts, and step onto the floor when we are short. Patient complaints and refunds come to you.

This is for you if

You have led a small team and liked it, including the uncomfortable parts
You would rather address a problem on Tuesday than avoid it until Friday
You are organized enough that nothing falls through the cracks, and direct enough that people know where they stand
You want ownership of an outcome, not a list of tasks

This is not for you if

You have held a manager title but have never actually had anyone report to you
You avoid difficult conversations, or you soften them until the message disappears
You need a fixed desk in a fixed building and do not want to travel between offices
You want a quiet front desk job

Requirements

Two or more years directly supervising three or more employees. Direct reports, not shift seniority.
Experience working a high-volume, appointment-based front desk yourself. You need to be able to do the job to lead it and to cover it.
A specific example of correcting an employee's performance that you can walk us through in detail.
Reliable transportation and genuine willingness to work across our offices in across the East and South Bay. Mileage reimbursed.
Weekday availability. No weekends.

Strong plus

Front office experience in chiropractic, physical therapy, dental, med spa, or veterinary care
Experience in a cash-pay, membership, or package-based practice rather than an insurance-driven one
You have written a checklist, script, or training document that someone else then used
Bilingual English and Spanish
Multi-location fitness or wellness management background

Compensation and benefits

$30-35 per hour, depending on experience
Monthly performance bonuses based on front office results
