Full Job Description

Mizuho America is seeking a high energy HR Assistant who will support Sr. Human Resources Manager nearly all programs and services that Mizuho America’s Human Resources Department handles. This is a great opportunity for someone who is eager to develop a career path in HR. This role also helps to foster policies and programs that promote a safe and positive work environment and the best HR practices for the Company.

ESSENTIAL JOBFUNCTIONS

Tracks the attendance of employees and their use of time-off
Provides clerical support to the HR department
Documents personnel changes and updates organizational chart
Compiles reports and spreadsheets and prepares spreadsheets
Handles daily administrative and HR duties
May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and work anniversary celebrations by collaborating with Sr. HR Manager and Office Supervisor
Conducts employee opinion survey as necessary to understand employees’ needs and issues
Provides customer service to employees
Answers questions from employees and records complaints
Manages communications for the HR department
Creates and distributes documents and correspondents to employees
Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc. then refers more complex questions to senior-level HR staff
Supports Sr. HR Manager by acting as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers
Notifies employees who need continuing education or on-the-job training about upcoming classes or deadlines to renew licenses or certifications
Implements company programs to increase employee morale
Performs other duties as assigned

Record Maintenance:

Maintains accurate and up-to-date human resource files, records, and documentation
Updates and maintains employee benefits, employment status, and similar records
Maintains records related to grievances, performance reviews, and disciplinary actions
Performs file audits to ensure that all required employee documentation is collected and maintained
Completes termination paperwork and assisting with exist interviews

Recruiting and Onboarding:

Assists with new hire onboarding process and orientation
Participates in recruitment efforts
Posts job ads and organizes resumes and job applications
Schedules job interviews and assists in interview process
Ensures background and reference checks are completed
Preparing new employee files

Safety:

Monitors that office’s safety requirements are met, and addresses issues as necessary with Office Supervisor

Required Skills/Abilities:

Excellent verbal and written communication skills. Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
Must be able to prioritize and plan work activities as to use time efficiently
Must be organized, accurate, thorough, and able to monitor work for quality
Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback
Excellent organizational skills and attention to detail
Proficient with Microsoft Office Suite or related software
Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications

Education and Experience:

Bachelor's degree in related field preferred
Prior related office experience required
