Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, ensure smooth communication, and provide exceptional customer service. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to help keep our office running efficiently. Duties

Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
Operate multi-line phone systems to handle incoming calls efficiently and courteously
Maintain organized filing systems, both physical and digital, including data entry and document proofreading
Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
Utilize computer skills in Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative functions
Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies

Qualifications

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Excellent phone etiquette and customer support skills; bilingual ability is a plus
Strong typing skills with high accuracy; familiarity with data entry and proofreading tasks
Ability to manage multiple priorities effectively through excellent time management skills
Previous experience as a receptionist or personal assistant is advantageous; experience in medical or dental reception is a bonus
Knowledge of office management procedures, filing systems, and clerical best practices
Demonstrated computer literacy with the ability to adapt quickly to new software tools
