Position SummaryThe Human Resources Assistant provides comprehensive administrative and operational support to the HR Department. This role assists in employee relations, recruitment, documentation, compliance, benefits administration, and workplace investigations. The HR Assistant ensures that all HR processes run smoothly and that records are maintained in accordance with company policies and legal standards. Essential Duties and Responsibilities Employee Relations & Communications
Support District Managers and leadership by facilitating communication between management and team members.
Assist with employee counseling sessions, documentation, and follow-up.
Prepare and process disciplinary actions, suspensions, and terminations with appropriatedocumentation.
Manage employee relation cases, including investigations and final reports.
Respond to correspondence, letters, and inquiries related to HR issues in a timely andprofessional manner. Documentation, Compliance, and Recordkeeping
Maintain organized employee personnel files, ensuring confidentiality and accuracy.
Prepare, file, and maintain documentation related to new hires, promotions, andterminations.
Ensure all HR forms and compliance paperwork are completed accurately and in a timelymanner.
Manage and update work status forms, doctor’s notes, medical releases, and return-to-work documentation.
Handle filing, scanning, and shredding of sensitive HR materials.
Create and maintain HR binders, signage, and organizational materials.
Collect, review, and maintain updated job descriptions for all positions. Leave Administration and Workers’ Compensation
Coordinate and track FMLA and other leave of absence requests.
Manage workers’ compensation claims, including claim documentation andcommunication with adjusters.
Liaise with Concentra or designated occupational health providers regarding work statusupdates.
Review and process all work status changes and communicate them to appropriatemanagers.
Support employees and management throughout the return-to-work process after injuryor medical leave.Recruitment and Onboarding
Post and manage job ads on Indeed and other recruiting platforms.
Assist in screening, scheduling interviews, and processing employment applications.
Scan and organize employment applications for recordkeeping.
Prepare new hire packets and assist and conduct onboarding and documentation.Insurance and Benefits Administration
Support open enrollment processes by distributing information, assisting employees with forms, and ensuring all changes are submitted accurately.
Maintain insurance and benefits files for compliance.
Assist with insurance audits and ensure timely submission of required documentation.Audits, Reports, and Systems Oversight
Review Zenput entries and follow up with managers to ensure completion and compliance.
Prepare reports related to employee activity, compliance, and benefits as assigned.
Assist with internal and external HR audits as needed.Field and Investigative Support
Conduct on-site visits to assist with HR investigations or fact-finding as directed by management.
Document findings and submit reports for review. Human Resources
Uphold policies and standards to the highest extent.
Enforce and maintain a work free of harassment, bullying, gossiping.
Handle employee’s work performance issues with proper corrective actions.
Maintain a close work-relationship with Human Resources.
Ensure team members’ adherence to all company standards.
Outstanding conflict resolution (deep knowledge of corrective action procedures)
Support and strengthen company’s No Gossip Policy
Emphasize company’s Open Door Policy
Report any incident/accident to your supervisor or HR immediately.
Handle employee concerns immediately
Create a positive working environment.
Ensure Compliance w/ Uniform and image Standards 100%

PHYSICAL DEMANDS, INCLUDING BUT NOT LIMITED TO: This position requires walking, bending, twisting, reaching, stooping, kneeling, crouching, pushing, carrying, and pulling to handle or move objects weighing up to 50 pounds. Standing for long periods. Constant use of hands and arms to reach for, grasp, and forceful pinch. Machines, Tools, Equipment, Work Aids.
