Full Job Description

Job Title: Administrative/Materials Assistant

Department: Administration

Reports To: Assistant Managing Director

FLSA Status: Non-Exempt

SUMMARY: The purpose of this job is to satisfy internal and external customer requirements by assisting the human resource department and administrative tasks according to Customer, YEN Group and the quality management system standards required (ISO 9001 standards).

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Manage hourly timekeeping and attendance information
Provide timekeeping and attendance reports to management
Check EDI System daily; generate shipping labels, advance shipping notices, and invoices
Schedule shipping carriers
Submit Purchase Order Requests
Send PO numbers to suppliers
Draft work instructions for all functions
Conduct internal quality system audits
Organize and plan company events
Assist the Human Resource Manager in the administration of the company’s recruitment, hiring & termination processes
Maintain employee files
Administer auditing activities in system software
Manage travel arrangements
Maintain communications with company employees
Maintain management meeting minutes
Other responsibilities may be assigned

QUALIFICATIONS: Applicants must have strong data entry skills, computer and communication skills, knowledge of payroll processes preferred, ability to work well in team environments, and be a diligent, self-motivating contributor the team can depend on. EDUCATION AND/OR EXPERIENCE: Bachelor's Degree. Must be highly skilled in Microsoft Excel.

LANGUAGE SKILLS: Must be able to write reports, business correspondence, and procedure manuals. Must be able to effectively present information and respond to questions from internal and external stakeholders of all levels.

MATHEMATICAL SKILLS: Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Should be able to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of instructions in written, oral, diagram or schedule form.
