Structall Building Systems is a manufacturer and distributor of Structural Insulated Panels (SIPs), aluminum building products, and related construction materials. With more than 30 years of industry experience and continued growth, we are seeking a highly organized and detail-oriented Purchasing Coordinator to join our Purchasing Team at our Corporate Headquarters in Oldsmar, Florida.
This position plays an important role in ensuring that materials are ordered accurately, received correctly, tracked effectively, and available when our manufacturing and distribution operations need them.
We are looking for someone who is comfortable working with databases, spreadsheets, purchasing records, inventory information, and large amounts of detailed data.
Strong Microsoft Excel skills, database experience, and exceptional attention to detail are important requirements for success in this position.
Position Overview
The Purchasing Coordinator provides day-to-day support for Structall's purchasing and inventory functions.
This is a hands-on administrative and data-driven position requiring frequent interaction with our purchasing system, inventory database, Microsoft Excel, vendors, warehouse personnel, logistics, sales, and other departments.
The successful candidate must be able to work with a high volume of information while maintaining accuracy and following transactions from beginning to end.
This position is about more than simply entering purchase orders.
We need someone who understands that accurate data drives accurate inventory, effective purchasing decisions, and successful operations.
Primary Responsibilities
- Create and enter Purchase Orders accurately and timely.
- Maintain purchasing information within the Company's database and business systems.
- Receive purchased materials into the inventory system.
- Verify quantities, pricing, units of measure, and other information before entering transactions.
- Assist in determining purchasing and replenishment requirements.
- Assist with maintaining accurate inventory levels.
- Monitor open Purchase Orders and outstanding materials.
- Track orders from placement through delivery.
- Follow up with vendors regarding order status, availability, and expected delivery dates.
- Work with the Logistics team to coordinate pickup and transportation of raw materials.
- Communicate material availability and delivery information internally.
- Coordinate with Purchasing, Logistics, Warehouse, Inside Sales, and other departments as required.
- Research purchasing, receiving, and inventory discrepancies.
- Assist with correcting inaccurate or incomplete database information.
- Maintain organized purchasing records and supporting documentation.
- Prepare and maintain Excel spreadsheets for purchasing, inventory, pricing, and material tracking.
- Assist with purchasing reports and data analysis.
- Support the Purchasing Team with special projects and additional responsibilities as needed.
Excel & Database Skills
This position requires someone who is comfortable working with data every day.
The Purchasing Coordinator will routinely use Microsoft Excel and Company databases to organize, analyze, verify, and communicate purchasing and inventory information.
The successful candidate should be comfortable with:
- Creating and maintaining Excel spreadsheets.
- Sorting and filtering large amounts of information.
- Using formulas to analyze and validate data.
- Comparing information from multiple sources.
- Identifying missing, duplicate, or inconsistent information.
- Working within database-driven purchasing and inventory systems.
- Entering information accurately into multiple fields and screens.
- Retrieving and researching historical purchasing and inventory information.
- Producing reports and summaries from purchasing data.
Experience with VLOOKUP/XLOOKUP, PivotTables, conditional formatting, and other intermediate Excel functions is highly desirable.
Experience working with ERP, inventory management, purchasing, or other database-driven business systems is strongly preferred.
Attention to Detail Matters
Purchasing mistakes can affect inventory, production schedules, transportation, customer orders, and financial results.
For that reason, attention to detail is one of the most important requirements of this position.
The Purchasing Coordinator is expected to:
- Verify information rather than assume it is correct.
- Review Purchase Orders before submitting them.
- Confirm quantities, pricing, part numbers, and units of measure.
- Recognize when information does not look right.
- Research discrepancies and follow them through to resolution.
- Maintain accurate and complete records.
- Follow established purchasing procedures.
- Meet deadlines without sacrificing accuracy.
- Take ownership of transactions from beginning to end.

Preferred Qualifications
- Two (2) + years of purchasing, inventory, supply chain, administrative, or related experience preferred.
- Strong Microsoft Excel skills required.
- Database or ERP system experience strongly preferred.
- Experience with purchasing and inventory management systems preferred.
- Experience creating and maintaining Purchase Orders.
- Experience working with inventory records and receiving transactions.
- Strong mathematical and analytical skills.
- Excellent data-entry accuracy.
- Strong written and verbal communication skills.
- Ability to prioritize and manage multiple deadlines.
- Manufacturing or distribution experience is a plus.
- Proficiency with Microsoft Office, including Excel, Outlook, and Word.
