Full Job Description

A growing walk-in urgent care practice on the Treasure Coast is hiring a Medical Billing & A/R Specialist for its Stuart office. We are a small, fast-moving operation with two locations - no bureaucracy, direct access to ownership, and real say in how the work gets done.

This role owns our billing inbox and billing phone line. You will be the person patients, attorneys, and insurance carriers actually talk to, and the person who gets their issue resolved. You will also be the daily point of contact for our remote billing team - reviewing their reports, asking the right questions, and making sure open items actually close. The right fit is someone who can take a frustrated phone call, find the real answer, and close the loop the same day - in writing, professionally, every time.

WHAT YOU'LL DO

- Own the billing inbox and billing phone line: triage every inquiry, route what belongs elsewhere, personally handle the difficult ones, and close cases within a defined turnaround

- Work through patient billing disputes start to finish: de-escalate, investigate, decide, and communicate the resolution clearly

- Explain our time-of-service payment model to patients who expected to be billed later, with patience and clarity

- Produce itemized receipts, superbills, and detailed statements for patients submitting for reimbursement

- Reconcile what was collected up front against the final explanation of benefits, determine what is owed back, process refunds, and follow up before the patient has to ask twice

- Respond to credit card disputes and chargebacks with clean, documented evidence

- Handle personal injury and motor vehicle accident accounts billed traditionally: coordinate with attorneys and paralegals on bills, ledgers, updated balances, letters of protection, and reduction requests

- Handle workers' compensation accounts: authorizations, adjusters, nurse case managers, and carrier-specific billing rules

- Review the daily end-of-day reports from our remote billing and coding team: read them closely, ask the follow-up questions, and confirm what was actually worked versus what was reported

- Track open items from those reports through to closure, and flag recurring problems up to leadership rather than letting them accumulate

- Serve as the day-to-day point of contact for the remote team on claims questions, documentation gaps, and payer-specific issues

- Drive denials, rejections, and underpayments to resolution through appeal; work aging reports and set follow-up priorities

- Handle payer records requests, chart audits, and medical record submissions from carriers and their vendors

- Post insurance and patient payments; set up and monitor payment plans within authority set by leadership

- Report AR aging, denial trends, refund exposure, and collections performance to leadership on a regular cadence

- Keep records audit-ready and every patient interaction fully HIPAA-compliant

WHAT WE'RE LOOKING FOR

- Associate's or Bachelor's degree in any field, or equivalent professional experience

- Required: 3+ years in medical billing, patient accounts, insurance claims, or a comparable role where you owned accounts and talked to people directly

- Required: hands-on experience billing workers' compensation (adjusters, nurse case managers) and personal injury / MVA auto PIP accounts (letters of protection, reduction requests with attorneys)

- Genuine conflict resolution skill: you can take an angry call or a third follow-up email and turn it into a resolved account

- Strong, careful written communication - much of this job is email that patients and attorneys will read closely

- Comfortable owning a high-volume inbox without letting items age

- Able to read a claims or aging report critically: spot what does not add up and ask about it, rather than filing it

- Solid working knowledge of payer rules, denials, EOBs, refunds, and credit balances

- Comfortable working with a remote team across time zones

- Proficiency with a practice management system / EHR; AdvancedMD a plus

- Bilingual English/Spanish a plus

A coding certification (CPC, CPB, CCS) is welcome but NOT required - our coding is supported internally. We care more about judgment, ownership, and how you handle people.
