Full Job Description

Office Manager

The Office Manager reports to the firm's Senior Partners and is responsible for overseeing the firm's financial operations, human resources, and administrative functions. This role ensures the timely processing of accounts payable, payroll, banking transactions, and employee expenses while maintaining accurate financial records, supporting month-end reporting, and fostering strong vendor relationships. The Office Manager also develops and maintains office policies, manages recruiting and employee relations, administers benefits, and coordinates with the Senior Partners to support the firm's operational and financial objectives.

Key Responsibilities

Financial Operations: Manage the firm's accounts payable workflow by receiving, verifying, and entering vendor invoices; scheduling and processing payments via check, ACH, and wire transfer; initiating bank wires as requested for real estate transactions; monitoring bank accounts and daily deposits; reconciling bank and vendor statements; investigating discrepancies; and maintaining sufficient account balances to meet financial obligations.
Payroll and Employee Expenses: Process payroll accurately and on time, maintain PTO records, administer 401(k) contributions, review and reimburse employee expense reports for policy compliance, and support staff with operational payment needs.
Human Resources and Recruiting: Oversee day-to-day HR administration, including employee policies, attendance, performance and disciplinary matters, and coordination with employment counsel as needed. Manage the full recruitment and onboarding process, including maintaining job descriptions, posting openings, screening candidates, coordinating interviews, facilitating hiring decisions, and onboarding new employees.
Office Administration: Develop, implement, and maintain consistent office policies, procedures, and administrative processes to support efficient day-to-day operations and a productive work environment.
Financial Reporting and Partner Support: Prepare month-end financial information and expense reports, coordinate regular Partner meetings, develop meeting agendas, and provide operational and financial updates to support planning and decision-making.
Benefits Administration: Coordinate the annual review, selection, and implementation of employee healthcare and benefits programs, ensuring timely enrollment and compliance with annual deadlines.

Qualifications

Associate's or bachelor’s degree in business administration, Bookkeeping, Human Resources, or a related field preferred; equivalent combination of education and relevant experience will be considered.
Minimum of 3–5 years of experience in office management, bookkeeping, or business administration; law firm or professional services experience preferred.
Demonstrated experience managing accounts payable, payroll, banking transactions, reconciliations, and financial reporting.
Basic knowledge of human resources, experience with employee onboarding, benefits administration, and recruiting.
Strong organizational, time management, and project coordination skills with the ability to manage multiple priorities and meet deadlines.
Excellent written and verbal communication skills, with the ability to interact professionally with employees, vendors, clients, and firm leadership.
High level of discretion and ability to maintain confidentiality with financial and personnel information.
Strong attention to detail, analytical skills, and problem-solving abilities.
Proficiency with the following is preferred (but training will also be provided):
Microsoft Windows operating systems
Microsoft Office Suite, including Outlook, Word, and Excel
QuickBooks Online
Clio Manage (legal case management)
Adobe Acrobat Pro
Ability to learn and adapt to new software and technologies as business needs evolve.
