Full Job Description

Probate & Trust Administration Paralegal

Our law firm is seeking a detail-oriented and highly organized Paralegal to join our growing Trusts, Estates, and Probate practice. The ideal candidate will provide comprehensive legal and administrative support to attorneys in estate planning, trust administration, and probate matters. Experience in trusts, estates, and probate is strongly preferred, but not required.

Responsibilities include:

Prepare probate pleadings, petitions, notices, inventories, accountings, and other court filings.
Manage probate and trust administration files from opening through closing, including tracking deadlines and ensuring timely completion of required tasks.
Communicate regularly with clients, personal representatives, trustees, beneficiaries, financial institutions, title companies, and court personnel.
Gather and organize financial information, asset inventories, valuations, and supporting documentation.
Prepare correspondence and legal documents for attorney review.
Coordinate asset transfers and distributions during trust and estate administration.
Prepare deeds, affidavits, and other documents related to estate and trust administration.
Maintain accurate electronic client files and case notes.
Utilize Clio (or similar legal practice management software) to manage matters, tasks, documents, billing, and client communications.
Assist with estate planning matters as needed, including preparation of wills, trusts, powers of attorney, and related estate planning documents.
Perform additional administrative and legal support duties as assigned.

Qualifications

Minimum of 3 years of paralegal experience preferred, but not required.
Significant experience in probate and trust administration strongly preferred.
Experience preparing probate court filings and managing estate administration matters.
Experience with Clio or similar legal practice management software is strongly preferred.
Strong technology skills and the ability to quickly learn new software and workflows.
Excellent organizational skills with the ability to manage multiple active matters simultaneously.
Exceptional attention to detail and strong written and verbal communication skills.
Self-motivated with the ability to work independently while collaborating effectively with attorneys and staff.
Professional, compassionate, and client-focused demeanor.

Qualifications

Associate's degree or Paralegal Certificate preferred.
Minimum of 2 years of paralegal experience strongly preferred.
Experience in Trusts, Estates, and Probate law is strongly preferred.
Knowledge of probate procedures and estate administration.
Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple projects and deadlines simultaneously.
Proficiency with Microsoft Office (Word, Outlook, Excel) and legal case management software.
Ability to maintain confidentiality and exercise sound professional judgment.

Preferred Skills

Strong client service skills and a compassionate, professional demeanor.
Ability to work independently while collaborating effectively with attorneys and staff.

What We Offer

Competitive hourly compensation with anticipated annual earnings of $75,000–$100,000, depending on experience and qualifications.
