Full Job Description

Position Summary

The Office Manager keeps our office running smoothly and supports the day-to-day operations of the business across several areas — office administration, human resources and benefits, accounts payable and payments, property management, and insurance. This is a varied, hands-on role for someone who thrives on juggling multiple responsibilities, takes ownership of their work, and handles sensitive and confidential information with the highest level of discretion. You will work closely with ownership, accounting, and managers, and you will be the friendly, reliable face of the office.

Key Responsibilities Office Administration

Manage the day-to-day functioning of the office
Process incoming and outgoing mail — sort, scan, route, and distribute correspondence to the appropriate people and companies, following established naming conventions.
Maintain office cleanliness and keep the office stocked with essentials, including routine tasks such as changing the refrigerator water filter.
Maintain and distribute internal lists such as phone extension and cell phone directories, and keep an up-to-date computer/equipment inventory.
Coordinate IT support with our outsourced provider, and assist with software license and Microsoft 365 administration, including a monthly MS365 license review and report to ownership.
Organize company events, including quarterly and monthly team lunches across the Spokane and Post Falls offices, and handle small projects as they arise from managers.

Human Resources & Benefits

Coordinate employee benefits administration — medical, dental, vision, short- and long-term disability, supplemental coverage, and 401(k) — including annual renewal, open enrollment, and presentations to staff.
Own the full employee lifecycle: onboarding new employees and contractors (including account and computer setup) and managing offboarding.
Maintain confidential HR documentation and electronic records, and ensure compliance with mandatory filings and employment regulations.
Track vacation schedules, process wage garnishments, manage workers' compensation reporting across multiple states, and coordinate employee training.
Send monthly employee anniversary recognitions and stay current on changes to HR-related laws and regulations.

Accounting & Payments

Process mail, bill payments, and check deposits across multiple related entities, separating and labeling items by company and following established naming conventions.
Scan and route bills and deposits to accounting, pay recurring vendor bills (e.g., utilities) online, print checks, and manage payment links.
Enter time records for yourself and ownership (MinuteHound), and process weekly remittance items.
Register companies with the state annually, file Idaho annual reports, and ensure property taxes are paid on schedule (typically twice per year).

Property Management

Create and maintain lease agreements and master tenant lists, tracking deposits and monthly rent payments.
Post available units, coordinate and provide tours, and support tenant relations across managed properties.
Prepare the monthly parking lot revenue report.

Insurance & Compliance

Manage insurance renewals and payments across the company's entities and properties, working with our insurance representatives.
Handle annual vehicle registrations and other recurring compliance tasks.

Qualifications & Experience

Education: Associate's or Bachelor's degree in Business or a related field, or equivalent work experience.
Experience: Three or more years of related office administration, HR, or operations experience.
Bonus: Prior experience in HR, bookkeeping/accounts payable, or property management is a strong plus.
Software: Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); comfort learning new software and online portals quickly.
