Full Job Description

A well-established boutique law firm serving high-net-worth individuals and families seeks an experienced Legal Administrative Assistant to support a sophisticated trusts and estates practice.

This position is ideal for a highly organized professional who takes pride in providing exceptional client service, managing multiple priorities, and ensuring that attorneys and clients receive prompt, accurate, and professional support.

Responsibilities

Serve as a primary point of contact for clients, advisors, and other professional contacts.
Manage attorney calendars, appointments, meetings, and deadlines.
Schedule client conferences and coordinate meeting logistics.
Draft, proofread, and format correspondence and legal documents.
Maintain electronic and physical client files.
Track matter status and follow up on outstanding items.
Process incoming and outgoing mail, emails, and client communications.
Assist with document execution, scanning, and records management.
Coordinate with financial institutions, accountants, fiduciaries, and other third parties.
Provide general administrative support to attorneys and paralegals.

Qualifications

Minimum 3 years of experience as a legal administrative assistant, legal secretary, executive assistant, or similar professional support role.
Exceptional organizational and time-management skills.
Strong verbal and written communication skills.
Professional demeanor and commitment to outstanding client service.
Ability to manage multiple projects and deadlines simultaneously.
Excellent attention to detail and follow-through.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Ability to work independently while collaborating effectively with attorneys and staff.

Preferred Qualifications

Experience in trusts and estates, estate planning, probate, tax, private client, or family office environments.
Experience supporting professionals who serve high-net-worth clients.
Familiarity with document management systems and legal practice management software.

The successful candidate will be highly responsive, detail-oriented, proactive, and committed to delivering exceptional service in a professional and collegial environment.
