Full Job Description

Position Summary:

We are seeking an organized, dependable, and customer-focused Administrative Assistant & Customer Service Coordinator to support our customers, sales team, and leadership. This role is ideal for someone who enjoys communicating with customers, managing details, and keeping quotations, orders, and shipments moving forward.

The successful candidate will be proactive, responsive, and comfortable managing multiple priorities while providing professional service and effective internal follow-up.

What Your Day-to-Day Work Will Look Like:

You will serve as the main point of contact for customers by phone and email, assisting with quotation requests, order processing, and general inquiries. You will take ownership of each request and coordinate internally to help ensure it is handled accurately and within the expected time frame.

Respond to incoming customer calls, emails, quotation requests, purchase orders, and general inquiries.
Process customer purchase orders by acknowledging receipt, reviewing order details, preparing internal shop orders, and maintaining the related files.
Prepare and send quotations and customer correspondence; track open items, follow up for information or approval, and maintain organized files.
Prepare shipping lists and documentation; request freight quotes, coordinate carriers, and schedule shipment pickups.
Coordinate with and follow up across the sales, engineering, and operations teams to ensure pricing, technical information, order updates, and other customer needs are assigned, addressed, and completed on time.
Follow up internally to keep customer requests moving forward and ensure commitments are completed promptly.
Keep customers informed about the status of quotations, orders, approvals, and shipments.
Proactively contact customers to request approvals, clarify order details, or obtain missing information.
Maintain accurate records of customer communications, requests, and follow-up activities.
Build positive customer relationships through professional, responsive, and helpful communication.

Key Responsibilities:

Provide administrative support to the President, and office.
Prepare, proofread, and format letters, quotations, and other business correspondence.
Enter, file, and transmit quotations and customer communications.
Acknowledge receipt of customer purchase orders and respond to related inquiries.
Review customer purchase orders and prepare corresponding shop orders for review.
Maintain accurate and organized customer, order, and shipping records.
Prepare, update, and distribute shipping schedules and lists.
Prepare and distribute shipping documents, including bills of lading, packing lists, and certificates of conformance.
Obtain freight quotes, coordinate with trucking companies, and schedule shipment pickups.
Communicate with customers, vendors, carriers, and internal departments to resolve questions or issues.
Assist with general office administration, including filing, certificates of conformance, company events, and other related duties as needed.

Qualifications:

High school diploma or equivalent required.
Previous experience in administrative support, customer service, sales support, or shipping preferred.
Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
Strong data-entry, typing, and document-management skills.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Ability to manage multiple priorities and meet deadlines.
Professional and courteous telephone manner.
High level of accuracy and attention to detail.
Ability to work independently while contributing to a collaborative team environment.
