Job Summary

We are seeking a dynamic and detail-oriented Project Coordinator specializing in Trade Shows, Exhibits, and Events to join our vibrant team. In this role, you will be the driving force behind the planning, execution, and management of a diverse range of events that showcase our brand and foster meaningful connections with clients and partners. Your energetic approach and exceptional organizational skills will ensure each event runs smoothly, aligns with marketing strategies, and exceeds expectations. This paid position offers an exciting opportunity to develop your expertise in event marketing, manage budgets effectively, and deliver memorable experiences that elevate our company's presence in the industry.

Duties

Coordinate all aspects of trade shows, exhibits, and corporate events from inception to completion, including venue selection, logistics, and setup.
Collaborate with marketing teams to develop compelling event marketing strategies that attract target audiences and maximize engagement.
Manage event budgets meticulously, ensuring cost-effective solutions while maintaining high-quality standards.
Negotiate contracts with vendors, venues, caterers, and service providers to secure favorable terms and build strong professional relationships.
Oversee event planning details such as catering arrangements, guest services, technical requirements, and hospitality needs like banquet or hotel accommodations.
Implement upselling techniques during events to promote additional products or services that benefit both the company and clients.
Ensure excellent customer service by addressing attendee inquiries promptly and providing seamless guest experiences.
Maintain detailed timelines, checklists, and documentation to ensure all tasks are completed on schedule using effective time management skills.
Conduct post-event evaluations to gather feedback for continuous improvement in future initiatives.

Requirements

Proven experience in event management, trade shows, or hospitality environments such as restaurants or hotels.
Strong negotiation skills with the ability to secure advantageous contracts and partnerships.
Knowledge of marketing principles with a focus on event marketing strategies.
Experience managing event budgets and controlling costs without compromising quality.
Excellent organizational skills with the ability to handle multiple projects simultaneously under tight deadlines.
Exceptional communication skills for liaising with vendors, clients, team members, and stakeholders.
Technical proficiency in event management software, Microsoft Office Suite or similar tools for planning and reporting purposes.
Background in banquet operations or restaurant/hotel service is a plus; fundraising or guest services experience highly valued.
Ability to adapt quickly to changing priorities while maintaining attention to detail in a fast-paced environment.
