Administrative Assistant/Front Desk

About STEP Academy

STEP Academy Charter School is a public charter school serving students in St. Paul and Burnsville, Minnesota. The St. Paul campus serves K–12, while the Burnsville campus serves K–10. Our students are primarily first-generation Somali and East African students.

STEP Academy is committed to providing a supportive learning environment where students, families, and staff can grow and succeed. Students are also encouraged to pursue opportunities such as early college enrollment through Minnesota's Postsecondary Enrollment Options (PSEO) program.

Position Overview

STEP Academy is seeking a friendly, organized, and dependable Administrative Assistant/Front Desk professional who is fluent in Somali and English and has a strong understanding of Somali culture.

As the first point of contact for the school, this position provides professional and welcoming service to students, families, staff, and visitors while supporting the daily operations of the school office.

Key Responsibilities

Front Desk & Administrative Support

· Welcome students, families, staff, and visitors in a warm and professional manner.

· Answer phone calls, respond to emails, and direct inquiries to the appropriate staff.

· Maintain an organized and professional front office.

· Provide administrative support to the Principal's Office, admissions, and student services.

· Schedule appointments, meetings, and school events.

· Prepare and distribute school correspondence, forms, and announcements.

· Maintain accurate records, databases, and files.

· Assist with data entry, document preparation, copying, scanning, and other office duties.

· Maintain confidentiality when handling student, family, and school information.

Somali Language & Cultural Support

· Serve as a bilingual liaison between Somali-speaking students, families, staff, and school leadership.

· Translate documents, forms, and communications between English and Somali as needed.

· Assist Somali-speaking families in understanding school procedures, expectations, and available resources.

· Provide culturally responsive communication and support.

Student & Family Support

· Assist with student enrollment, registration, admissions, and related documentation.

· Support attendance and tardiness tracking and follow up with families as directed.

· Assist students and families with routine administrative questions and needs.

· Connect families with appropriate school staff and resources.

· Contribute to a safe, respectful, and welcoming school environment.

Qualifications

· Fluent in Somali and English, with strong verbal and written communication skills.

· Strong understanding of Somali culture and customs.

· Previous experience in administrative support, front-desk reception, customer service, education, or a related field.

· Strong organizational skills and attention to detail.

· Ability to multitask, prioritize, and work effectively in a busy school environment.

· Proficiency with Microsoft Office Suite and general office equipment.

· Professional, friendly, and approachable demeanor.

· Ability to maintain confidentiality and exercise sound judgment.

· Ability to work effectively with students, families, staff, and community members.

Education

· High school diploma or equivalent required.

· Additional training or education in office administration, education, or a related field is a plus.
