Full Job Description

We are seeking a high-energy, detail-oriented Administrative Assistant to support our supply chain and procurement operations within our busy Manufacturing facility. Operating on a stable schedule of 8:00 AM - 5:00 PM, this role thrives in a very fast-paced environment where precision and multitasking are vital. In this role, you will act as a core operational anchor alongside our Shipping clerk team, utilizing an advanced ERP system and tracking data in Microsoft Excel to keep our inventory moving seamlessly. If you are a proactive Administrative Assistant who excels under pressure, possesses prior Manufacturing environment exposure, and wants to work closely with our Shipping clerk department to manage ERP logs, this fast-moving position is a perfect fit. We need a reliable Administrative Assistant with a strong data-entry background who can seamlessly support our logistics network as a backup Shipping clerk, maintaining perfect documentation across our Manufacturing plant by masterfully utilizing our ERP platforms and Microsoft Excel worksheets.

Responsibilities Include

Processing and executing approved Purchase Orders (POs) for MRO within the AS400 system.
Cataloging and inputting data for newly launched products into the Lotus Notes database.
Updating part numbers, adjusting pricing files, and altering existing item records as requested in AS400.
Facilitating inventory replenishment by tracking Kanban (KB) cards, managing blanket orders, and processing active PO releases.
Monitoring delivery schedules by auditing, updating, and generating open PO tracking reports in Microsoft Excel.
Structuring digital purchasing files to track vendor confirmations, shipping notifications, and procurement correspondence.
Overseeing third-party vendor backlogs to secure on-time shipment compliance and logging successful third-party transactions in the central system.
Partnering with the traffic and logistics team to streamline inbound freight and third-party transportation schedules.
Sourcing compliance data, specifications, and regulatory documentation directly from active suppliers.

Skills/Qualifications

Experience: Minimum of 3 years of administrative, purchasing, or data entry experience in a fast-paced setting.
Systems Familiarity: Prior exposure to software software and advanced spreadsheets is heavily preferred.
Work Authorization: Legally authorized to work in the United States without company sponsorship.
Core Competencies: Exceptional time management, high attention to detail, strong data accuracy, and professional communication skills.
