Job Summary
The File Clerk & Mail Room Clerk is a dual‑function administrative role responsible for maintaining the Firm’s physical and digital filing systems, managing all incoming and outgoing mail, and providing general administrative support to attorneys, fiduciary staff, legal staff, and the front office. This position plays a critical role in ensuring the accuracy, organization, and security of client records and legal documents, as well as the timely processing of mail and deliveries. Workload distribution is structured as follows:

40% File Clerk Duties
40% Mail Room Clerk Duties
20% Administrative Support Duties

Responsibilities

40% – File Clerk Responsibilities

Maintain and organize physical client files, fiduciary records, legal documents, and administrative materials in accordance with Firm protocols.

40% – Mail Room Clerk Responsibilities

Receive, sort, scan into files, date‑stamp, and distribute all incoming mail, packages, and courier deliveries, including legal notices, court documents, and time‑sensitive fiduciary materials.
Prepare outgoing mail, including certified mailings, trust notices, probate filings, and courier shipments.
Operate mailroom equipment, including postage meters, scanners, and sorting tools.
Maintain inventory of mailroom supplies and coordinate replenishment as needed.
Ensure timely delivery of mail to attorneys, legal and fiduciary staff, and administrative personnel.
Track important mailings and maintain logs for certified, registered, or overnight deliveries.
Coordinate with postal and courier services to resolve delivery issues or delays.

20% – Administrative Support Responsibilities

Provide general clerical assistance, including photocopying, scanning, faxing, and assembling packets or binders for client meetings, hearings, and fiduciary matters.
Assist with reception coverage as needed, greeting clients—often seniors or family caregivers—with professionalism and compassion.
Support scheduling, communication, and coordination tasks for attorneys and fiduciary staff.
Maintain organization of shared office spaces, supply areas, and equipment rooms.
Assist with basic data entry, including logging invoices, receipts, and other administrative records.
Provide support for Firm events, trainings, and administrative projects as assigned.
Scan, upload, and index documents into the Firm’s digital document management system.
Ensure all files are complete, properly labeled, and stored in compliance with confidentiality and retention policies.
Retrieve files for attorneys, fiduciary staff, and administrative personnel; track file check‑outs and returns.
Assist with archiving, purging, and secure destruction of records in accordance with Firm retention schedules and legal requirements.
Monitor file room organization, ensuring materials are stored safely and efficiently.
Support fiduciary staff by organizing financial records, receipts, invoices, and supporting documentation.

Requirements

Proven office experience with strong clerical skills in a fast-paced environment
Excellent organizational skills with attention to detail for filing and data entry tasks
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer literacy
Experience with bookkeeping software such as QuickBooks is a plus
Bilingual abilities are preferred to assist diverse staff and clients effectively
Strong phone etiquette skills with experience managing multi-line phone systems
Ability to handle confidential information discreetly and professionally
Excellent time management skills to prioritize tasks efficiently
Previous experience in office management or administrative support roles is highly desirable
Ability to carry files and paperwork weighing up to twenty pounds.
Ability to navigate stairs.
