Senior Grants and Contracts Management Specialist (Hybrid)
Overview
We are seeking an experienced Senior Grants and Contracts Management Specialist to provide contract, grant administration, fiscal monitoring, and compliance support for funded programs. This contractor will serve as a key liaison between program staff, financial management teams, and subrecipients to ensure effective administration of contracts, agreements, budgets, reporting requirements, and funding compliance.
The ideal candidate will have experience managing government, nonprofit, or public-sector grants and contracts and be comfortable reviewing budgets, invoices, compliance documentation, and performance reporting requirements. This role requires strong organizational skills, attention to detail, and the ability to provide guidance and training to internal teams and external partners.
Key ResponsibilitiesGrant and Contract Administration
- Manage the full lifecycle of grants, contracts, agreements, and subrecipient awards from development through ongoing monitoring.
- Collaborate with program staff to develop, process, and maintain contract and grant documentation.
- Complete and maintain required forms, templates, and compliance documentation.
- Draft, process, and coordinate amendments, renewals, and updates.
- Maintain MOUs, contracts, agreements, and related records.
- Coordinate required approvals and signatures using electronic signature platforms such as Adobe Sign.
- Enter, update, and monitor grant and contract information within grant management systems (GMS).
Budget and Fiscal Monitoring
- Review budgets for completeness, accuracy, and compliance with funding requirements.
- Cross-reference budget narratives with budget justifications to ensure consistency.
- Monitor funding levels, expenditures, and available balances.
- Maintain expenditure tracking and prepare regular financial summaries.
- Review monthly invoices and supporting documentation for accuracy.
- Identify and communicate discrepancies in budgets, invoices, and financial reports.
- Partner with finance teams to resolve fiscal questions and compliance issues.
Reporting and Compliance Oversight
- Track program reporting requirements, deadlines, and deliverables.
- Monitor performance measures and assist with performance reporting.
- Track audit requirements and ensure required documentation is maintained.
- Support subrecipient monitoring activities, including compliance reviews and follow-up.
- Develop dashboards and reports to monitor monthly expenditures, funding status, and performance outcomes.
Training and Technical Assistance
- Provide guidance and training to program staff regarding grant and contract administration requirements.
- Provide technical assistance to subrecipients regarding budgets, reporting, invoicing, and compliance requirements.
- Help define roles and responsibilities between program teams, finance teams, and external partners.
- Develop processes, tools, and procedures to improve grant and contract management.
Required Qualifications
- Bachelor’s degree in business administration, finance, public administration, nonprofit management, accounting, or related field; equivalent experience may be considered.
- 5+ years of experience in grants management, contract administration, financial compliance, or program operations.
- Experience managing government, nonprofit, foundation, or public-sector funded programs.
- Experience reviewing budgets, invoices, expenditures, and financial documentation.
- Experience working with subrecipients, vendors, contractors, or funded partners.
- Strong knowledge of grant/contract compliance requirements and reporting processes.
- Advanced organizational skills with the ability to manage multiple deadlines and priorities.
- Strong written and verbal communication skills.
Preferred Qualifications
- Experience with federal, state, or local government grants.
- Experience with subrecipient monitoring and audit requirements.
- Knowledge of federal grant compliance requirements, including Uniform Guidance (2 CFR Part 200).
- Experience using grant management systems (GMS), contract management systems, or financial tracking platforms.
- Experience creating dashboards and expenditure reports using Excel or similar tools.
- Experience providing training or technical assistance to program teams or external partners.
