Full Job Description

Sponsorships Representative

Department: Sponsorships

Reports To: Manager of Admissions & Sponsorships

Employment Type: Part-Time

Location: Hybrid (Based on Business Need)

Budget: 20 hours/week at $18/hour

Position Summary

The Sponsorship Representative plays a key operational and communication role within the Sponsorships department. They’ll help support sponsored students, sponsorship partners, and internal Customer Experience teams. This role focuses on improving visibility into sponsored student progress, supporting operational workflows, maintaining clear communication across departments, and ensuring a seamless experience for both students and sponsorship partners.

This position is ideal for a highly organized, detail-oriented professional with strong writing and communication skills who enjoys working cross-functionally and supporting client-facing initiatives.

Main success indicators:

Increase in sponsored students’ program completion
Increase in sponsorship students, partners, and MyCAA opportunities

Key ResponsibilitiesSponsored Student Visibility & Reporting

Assist in creating and maintaining visibility into sponsored student progress, participation, and outcomes.
Support reporting efforts related to sponsorship student milestones, attendance, completion, and student persistence.
Help identify opportunities for improved tracking and communication regarding sponsored student status.

Operational Excellence & Process Support

Collaborate with Sponsorship Advisor (Coordinator) to improve operational efficiency through the implementation of:
Standard Operating Procedures (SOPs)
Workflow documentation
Communication templates
Process guides
Consistently utilize established workflows and templates in daily student and partner interactions.
Support process adherence to ensure a consistent sponsorship experience.

Cross-Functional Communication

Partner with internal CX teams, including Admissions, Student Services, Careers, Externships, and Financial Services, to provide visibility into Sponsorship processes and answer questions as needed.
Act as a resource for internal teams regarding sponsorship-related policies, workflows, and student needs.
Help maintain alignment across departments to ensure sponsored students receive consistent support.

Student Communication & Support

Respond to sponsored student emails in a professional, timely, and customer-focused manner.
Provide clear guidance, updates, and support throughout the sponsorship process.
Escalate complex student situations appropriately when needed.

Partnership & Client Support

Support sponsorship partner relationships and communication when additional assistance is needed by the Sponsorship Advisor.
Assist with client-facing communication to maintain strong partner relationships and ensure responsiveness.
Help reinforce the overall sponsorship partnership model through excellent service and follow-through.

Financial Services Coordination

Provide context and supporting information to Financial Services related to Accounts Receivable (AR), invoicing, or sponsorship payment matters when needed.
Help ensure consistency in sponsorship documentation and cross-departmental workflow efficiency.

Marketing & Content Support

Assist with marketing-related efforts involving sponsorship partnerships and educational funding opportunities, including programs such as MyCAA.
Support the development or review of:
Sponsorship campaign content
Articles or promotional materials
Partnership-related communication pieces
Contribute written content and messaging that aligns with brand and partner expectations.

QualificationsRequired Experience & Skills

Strong professional writing and communication skills, with experience communicating in a client-facing environment.
Excellent written grammar, editing, and professional correspondence abilities.
Strong organizational skills and attention to detail.
Ability to work cross-functionally and build collaborative working relationships.
Experience managing email communication in a professional setting.
Comfortable following structured workflows and documentation.

Preferred Qualifications

Associate’s or bachelor’s degree in English, Communications, Journalism. Candidates currently working toward a degree are also encouraged to apply.
Experience in education, workforce development, healthcare training, sponsorship programs, or customer experience environments.
Experience supporting operational processes, SOP creation, or workflow improvement initiatives.
Familiarity with invoicing coordination, sponsorship billing, or partner communication is preferred.
