Role Summary

We are looking for a reliable and organized Administrative Assistant to be the welcoming face of our office and handle our daily administrative needs. In this role, you will handle a mix of daily responsibilities from greeting visitors and assisting with light bookkeeping to organizing office social activities and keeping the workplace tidy. If you are dependable, easy to work with, and enjoy keeping things organized, we would love to hear from you.

Key Responsibilities

Front Desk & Customer Support

Reception: Act as the first point of contact for the office, greeting visitors and clients with a warm and professional demeanor.
Customer Care: Provide excellent customer support, address inquiries, and resolve minor issues promptly.
Phone Management: Answer, screen, and route incoming phone calls efficiently while maintaining exceptional phone etiquette.

Administrative & Financial Duties

General Admin: Perform a variety of clerical tasks including data entry, filing, copying, and managing general correspondence.
Spreadsheet Management: Create, update, or maintain organized spreadsheets for tracking various office metrics or projects.
Minimal Bookkeeping: Assist with basic bookkeeping tasks using QuickBooks Online.
Minimal HR Admin: Assist with basic administrative tasks related to HR.

Office Environment & Culture

Event Planning: Organize and coordinate social activities throughout the year.
Light Housekeeping: Help maintain a clean and professional office environment, including keeping the reception area, conference rooms, and breakroom tidy and well-stocked.

Qualifications & Preferred Skills

Education: High school diploma or equivalent is required.
Typing Speed: Ability to type 60+ WPM accurately.
Software Skills: Familiarity with QuickBooks Online is highly preferred.
Tech Savvy: Strong working knowledge of spreadsheets (Microsoft Excel or Google Sheets) and general office software.
Communication: Excellent verbal and written communication skills, with a strong, professional phone presence.
Organization: Exceptional time-management skills and the ability to multitask effectively without letting details slip.
Attitude: A proactive, "can-do" attitude with a willingness to tackle both administrative tasks and light physical tasks (like tidying up).
