Full Job Description

Purpose of the Role: To provide the critical administrative, data, sales, and production support needed to keep the Special Sales, Rights, and Audio departments running smoothly. This role handles essential backend tasks—including audiobook production administration, database administration, specialized order tracking, and licensee asset delivery. This allows department director to focus on pitching, negotiating, and closing revenue-generating deals. This role reports directly to the Director or Rights and Audio.

Key Responsibilities

Audiobook Production & Management

Work with internal teams and external vendors.
Provide external vendors with all necessary assets for audiobook production, including narrator forms, manuscript interiors, and metadata.
Upload future audiobook titles (covers and metadata) to Audible/Amazon as pre-orders.
Maintain and consistently update the Audio Master Grid with the latest production information.
File finished master recordings on the server.

Rights & Database Administration

Manage RightsZone (rights management software), ensuring the database is fully updated with accurate records of all submissions, and logging all executed rights deals.
Cross-reference original author contracts to "pull" and verify exactly which rights the company owns for every title.
File, organize, and manage all finalized subsidiary rights agreements.
Assist in pulling and sending interior and cover files needed for internal rights deals.
Build and design seasonal rights catalogs to showcase available rights for upcoming titles, serving as primary sales tools for international book fairs.
Coordinate the mailing of physical, finished translated copies to authors once foreign editions are published.
Coordinate tax compliance by sending Form 6166 (U.S. Tax Residency Certification) to foreign publishers and agents, ensuring the company receives maximum payouts without unnecessary foreign tax withholding.

Special Sales & Order Support

Prepare and send out monthly tracking for specific special sales accounts (e.g., Wheelhouse) and assist with any related inventory issues.
Update and manage a Cancelled Order/Hot Reprint grid on a weekly basis to help reinstate orders cancelled due to lack of inventory and reach out to customers when stock arrives.
Use specific customer portals (such as the Potpourri Group portal) to create and process carton shipping labels for the warehouse.
Manage international order fulfillment by coordinating with the warehouse for shipping costs, working directly with authors to collect payment, and ensuring copies are sent out.
Assist with trade show preparation, including arranging shipping to and from the show, coordinating donations, and performing other administrative prep work as needed.
