Full Job Description

The Platta Law Firm, PLLC is a premier, fast-paced personal injury litigation firm in NYC. We are seeking a sharp, highly autonomous Full-Charge Bookkeeper & HR Operations Manager to take full ownership of our firm financials, trust accounts, and human resources administration.

The Role

In this high-impact, dual-faceted role, you will report directly to the Founding Partner, managing everything from QuickBooks general ledger closes and IOLA escrow compliance to seamless employee onboarding and NY labor compliance.

Key Responsibilities

Full-Charge Legal Bookkeeping: Own the complete accounting cycle in QuickBooks (AP, AR, journal entries, balance sheets, P&L, and month-end closes).
IOLA Escrow & Trust Accounting: Execute compliant 3-way monthly reconciliations, manage settlement disbursements, track advanced client litigation costs, and handle statutory lien holdbacks.
Payroll & Benefits Administration: Process bi-weekly payroll via ADP TotalSource, allocating wage/tax splits, 401(k) contributions, health insurance cost-splits, and pre-tax commuter benefits.
HR Onboarding & Compliance: Administer full-cycle onboarding (Form I-9, NY DOL LS 54 wage notices, tax profiles, policy acknowledgments) and ensure strict compliance with NYS/NYC labor mandates.
Time-Off & Leave Auditing: Monitor and audit attendance records, tracking NYC Safe & Sick Leave, Paid Prenatal Leave, and strict time-off limits.
Compliant Offboarding: Manage structured departures, exit documentation, equipment recovery, and statutory final pay calculations.

What We Are Looking For

Experience: Proven experience as a Full-Charge Bookkeeper managing full-cycle accounting and HR operations. Prior law firm experience (especially Personal Injury / IOLA escrow) is a major plus.
Technical Mastery: Advanced proficiency in QuickBooks (Desktop/Online) and strong experience with ADP TotalSource or similar PEO platforms.
Compliance Savvy: Strong working knowledge of NYS/NYC labor standards, wage theft notices, and payroll tax compliance.
Professional Acumen: Absolute discretion, high attention to detail, and a proactive, organized approach to daily firm operations.
Education: Degree in Accounting, Finance, Business, or equivalent hands-on experience.
