Are you a practical problem-solver who can inspect a property, identify what is not working, and determine the right next step? Do you take ownership of maintenance issues and follow them through to completion? Can you hold vendors accountable for scheduling, communication, pricing, workmanship, and deadlines? Are you comfortable coordinating residents, inspections, work orders, and third-party contractors without losing track of details? Do you communicate clearly, act proactively, and keep the Property Manager informed? Do you want a role where success is measured by completed work, accurate documentation, reliable vendors, and well-maintained properties?

Then you might be our next Residential Field Ops Specialist!

ROLE:

You are responsible for coordinating residential maintenance from initial request through verified completion. You will assess concerns, conduct property visits when needed, delegate work to preferred third-party vendors, and hold residents, vendors, and internal processes accountable for timely follow-through. You will also coordinate move-out turnovers, verify properties meet Safe House PM standards, and support a positive resident move-in experience by confirming the home is ready, addressing deficiencies, and helping ensure a smooth key handoff.

RESPONSIBILITIES:

Review maintenance requests, gather necessary information, determine urgency, and identify the appropriate next step.
Assign approved third-party vendors and provide clear work-order scopes, access instructions, photographs, and completion expectations.
Coordinate residents, vendors, access, scheduling, estimates, approvals, and follow-up from initial request through verified completion.
Hold vendors accountable for timely scheduling, professional communication, reasonable pricing, quality workmanship, documentation, and deadlines.
Conduct property visits when an issue cannot be adequately diagnosed, documented, or verified remotely.
Inspect properties for maintenance deficiencies, safety concerns, deferred maintenance, damage, and conditions requiring escalation.
Coordinate move-out inspections, document property condition, create make-ready work orders, and oversee turnover progress.
Verify completed make-ready work meets Safe House Property Management standards before a property is approved as rent-ready.
Coordinate resident move-ins, complete the final readiness inspection, personally hand over keys, and support a positive move-in experience.
Photograph and document deficient or incomplete work and create corrective work orders before the repair or turnover is closed.
Maintain accurate key, lockbox, property-access, inspection, work-order, and vendor-completion records.
Provide the Property Manager with timely updates, factual findings, recommendations, delays, and conditions requiring a decision.
Report urgent safety, security, active water, fire, habitability, or major property-damage concerns immediately.
Help identify recurring maintenance problems, weak vendors, and broken processes and recommend practical improvements.

RESULTS:

Maintenance escalations are reviewed and assigned within 1 business day.
Urgent safety, security, active water, fire, habitability, or major property-damage concerns are escalated the same day.
No work order remains open longer than 45 calendar days without documented escalation and an active resolution plan.
Vendor deficiencies are photographed and reported the same business day, with corrective work orders created within 1 business day.
Move-out inspections are completed within 3 calendar days after lease end or confirmed return of possession.
Make-ready work orders are created within 3 business days after the move-out inspection.
Final rent-ready verification is completed within 3 business days after notice that work is complete and before resident possession.
Move-ins include a confirmed appointment, final readiness inspection, authorized in-person key handoff, and same-day documentation.
Inspection reports, photographs, field notes, and work-order updates are submitted within 24 business hours after each property visit.
Assigned communications are acknowledged within 4 business hours and receive a complete response or documented next step within 24 business hours.

REQUIREMENTS:

Practical knowledge of common residential plumbing, electrical, HVAC, appliance, carpentry, roofing, lock, and water-intrusion issues.
Property maintenance, construction coordination, inspection, facilities, or property management experience preferred.
Strong organization, follow-through, judgment, documentation, and professional communication skills.
Ability to work independently in the field while remaining accountable to the Portfolio Property Manager.
Valid driver’s license, reliable transportation, and ability to travel throughout the Greater Milwaukee area.
Smartphone with a quality camera and ability to use property-management and inspection applications.
Ability to safely access occupied homes, vacant units, basements, attics, mechanical areas, and property exteriors.
Ability to pass Company-required background screening and reference checks.
