Full Job Description

Accounting & Order Management Specialist Position Overview

We are seeking a dependable, detail-oriented Accounting & Order Management Specialist to support our day-to-day accounting, invoicing, payment processing, accounts receivable, and order management functions.

This position plays an important role in ensuring customer orders are entered accurately, invoices and payments are processed correctly, accounting records remain organized, and customers and internal team members receive timely communication.

The ideal candidate is highly organized, comfortable working independently, and has strong computer and communication skills. Experience with QuickBooks Desktop is required, although training will be provided on our internal order entry system and company-specific processes.

Availability Monday through Friday during mid-day business hours is required.

Key Responsibilities

Enter customer orders into the order entry system after verifying all necessary information and details with the sales team.
Review QuickBooks Desktop daily to verify that processed orders have transferred accurately from the Wake Industrial order entry system into QuickBooks.
Prepare and process customer invoices.
Receive and process customer payments and refunds through the order entry system and QuickBooks Desktop.
Email invoices and receipts to customers through the appropriate system.
Manage accounts receivable, including monitoring outstanding invoices and following up with customers regarding collections.
Pay company bills and assist with general accounts payable functions.
Prepare and process domestic and international wire payments as required.
Monitor and respond to Truist fraud alerts and communicate regarding potentially fraudulent transactions when necessary.
Run customer credit checks and assist with establishing Net 30 payment terms for approved customers.
Review UPS billing and investigate billing discrepancies.
Request, track, and maintain customer tax exemption forms and upload completed documentation into the order entry system.
Print and organize necessary documents for shipping and company records.
Maintain organized hard-copy files for invoices, expenses, and other accounting documentation.
Scan hard-copy receipts and submit them electronically to the appropriate company email/accounting system.
Maintain accurate and organized financial and customer records.
Assist with resolving discrepancies between orders, invoices, payments, and accounting records.
Perform additional accounting, order management, and administrative duties as assigned by management.

Qualifications & Skills

Minimum of 1 year of experience using QuickBooks Desktop.
Experience with Microsoft Excel, email, and general computer-based business applications.
Strong computer skills and the ability to learn new software and internal systems.
Strong attention to detail and accuracy, particularly when entering orders, processing payments, and working with financial information.
Strong organizational and recordkeeping skills.
Strong written and verbal communication skills.
Ability to communicate professionally with customers, vendors, sales representatives, and other team members.
Ability to manage multiple responsibilities and prioritize tasks effectively.
Comfortable working independently while communicating closely with the rest of the team.
Dependable and consistent with excellent follow-through.
Accounting, bookkeeping, accounts receivable, accounts payable, invoicing, or order-processing experience is preferred.

Schedule

Monday through Friday, 8AM to 5PM, excluding major holidays
Must be consistently available during mid-day business hours
Specific working hours and schedule to be discussed based on the needs of the position.

What We're Looking For

We are looking for someone who takes ownership of their work and understands that accuracy matters. This position handles important customer, order, payment, and accounting information, so the right person will be thorough, organized, dependable, and comfortable following an order or accounting issue through to completion. Must be comfortable handling multiple tasks at once and not be overwhelmed easily.

The position is well suited for someone with QuickBooks and administrative accounting experience who enjoys a varied role rather than performing the same accounting task all day.

Pay: $28.00 per hour
