Full Job Description

Job Summary

The Operations Coordinator provides administrative, operational and project coordination support to the Director of Operations while serving as a key resource for multiple laboratory operations departments. This role coordinates cross-functional projects, supports quality and accreditation initiatives, assists with regulatory compliance efforts, develops and maintains operational documentation and helps drive communication and continuous process improvement across the organization.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced healthcare laboratory environment while maintaining professionalism and confidentiality.

Essential Duties and Responsibilities

Provide administrative and operational support to the Director of Operations.
Serve as backup support for laboratory operations departments, including Histology, IPOX, Special Stains, Hospital Operations, Pathologists' Assistants, Outpatient Grossing, Cytology, Cytology Processing, Molecular, Safety, Credentialing, Quality and Accreditation.
Partner with the Director of Operations to identify opportunities for operational improvements, streamline workflows and coordinate implementation of process improvements.
Draft, edit and maintain policies, standard operating procedures, job aids and other operational documentation.
Learn and apply regulatory, accreditation and compliance requirements to support organizational readiness.
Coordinate self-inspections, accreditation activities, on-site inspection preparation, surveys, corrective actions and follow-up responses.
Participate as an active member of the Quality Assurance/Quality Improvement (QA/QI) and Safety Committees as well as other committees as assigned.
Schedule, coordinate, and facilitate meetings, including preparing agendas, recording meeting minutes and tracking action items.
Coordinate cross-functional projects from initiation through completion by maintaining project plans, documentation, timelines and status updates while facilitating communication among stakeholders.
Respond to internal inquiries and assist in resolving operational concerns in a timely and professional manner.
Plan and coordinate employee engagement initiatives, including Lab Week, holiday celebrations, recognition events and other company-sponsored activities while adhering to budget guidelines.
Develop, publish, and maintain company communications, including newsletters and communication boards.
Perform general administrative duties including document preparation, scanning, filing, copying, records management and correspondence.
Research applicable regulations, accreditation standards and industry best practices to support operational initiatives.
Maintain the highest level of confidentiality regarding employee, patient and organizational information.
Demonstrate reliable and predictable attendance.

Education & Experience

Bachelor's degree in a science-related field strongly preferred.
Minimum of two (2) years of experience in administrative support, project coordination, laboratory operations, healthcare operations or a related field.
Experience supporting healthcare, clinical, pathology or laboratory environments is preferred.

Knowledge of laboratory accreditation, regulatory and certification standards is preferred.
Ability to maintain strict confidentiality and exercise sound judgment.

Computer Skills

Proficient in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.
Proficient with Microsoft Teams.
Comfortable using internet-based applications and Windows operating systems.

Language & Reasoning Skills

Ability to read, interpret, and apply contracts, accreditation standards, safety regulations, policies, operating instructions and procedural manuals.
Ability to communicate effectively with pathologists, physicians, administrators, employees, vendors and external partners.
Ability to apply sound judgment and common sense when carrying out detailed written and verbal instructions and solving complex operational issues.
