Assistant Wedding Planner

Laura Taylor Weddings | Greater Philadelphia (Suburban PA) | Part-Time Employee, with required weekend and seasonal availability

About Us

Laura Taylor Weddings is a full-service wedding planning and design company serving couples across the suburban Philadelphia market. We plan and coordinate weddings at some of the region's most beautiful venues, and we do it with a level of organization and care that our couples remember long after the last dance. We build on strong systems, real data, and a genuinely warm client experience, and we've integrated modern tools (including AI) into how we work from day one.

We're growing, and we're looking for an Assistant Wedding Planner to support our lead planners, help grow the business, and step into leading weddings over time.

The Role

As an Assistant Wedding Planner, you'll support and, over time, lead some of the planning, sales, marketing, and execution of our weddings. You'll be a capable set of hands and eyes on wedding days, a warm first point of contact for new inquiries, and a consistent voice for our brand on social media. This role touches client-facing consultations, vendor coordination, wedding-day leadership, and marketing that helps generate inquiries and bookings.

This is a hands-on role with a defined growth path into a Lead Wedding Planner position. You'll learn our systems and our approach from the inside, and for the right person, it's a clear track toward owning weddings independently. What You'll Do

Client Consults & Sales

Lead inquiry calls and help set up consultations for our lead planners
Convert qualified inquiries into booked couples through warm, relationship-driven sales
Represent Laura Taylor Weddings at wedding shows, venue events, networking opportunities, and site visits
Maintain timely, professional communication with couples

Wedding Planning & Coordination

Prepare and maintain wedding documentation, including timelines, vendor lists, floor plans, and planning notes
Communicate and collaborate with vendors before and during events, and help collect and track certificates of insurance (COIs)
Attend rehearsals, venue walkthroughs, and site visits on time and prepared
Lead or support weddings depending on the package level, providing hands-on day-of coordination
Keep client information and tasks organized inside our systems (HoneyBook, Notion, Ring Runner and connected tools)

Vendor Relations & Business Support

Build and maintain positive working relationships with venues and vendors
Support operational work that improves the client experience and our workflows
Help promote Ring Runner and related projects as part of our broader business

What Success Looks Like

Consult conversion: roughly a 30% consult-to-booking conversion rate (rolling average)

Execution: weddings delivered within our planning-hour ranges (Day-of / Month-of: 15 to 20 hours; Partial Planning: 20 to 30 hours; Full-Service: 35 to 50 hours)

Capacity & Schedule

Support 4 to 6 weddings per season across a mix of Full-Service, Partial, and Day-of / Month-of Coordination
Around 20 hours per month of non-wedding work (admin, marketing, and sales)
No more than 30 hours per week total, inclusive of wedding and non-wedding work
Required weekend availability during wedding season (peak spring through fall), plus occasional evenings

What We're Looking For

A strong interest in wedding or event planning; direct experience is a plus but not required
Excellent organization and attention to detail
Warm, friendly communication and a genuine service mindset, including comfort on the phone with new couples
A calm, can-do attitude when a wedding day gets busy
Comfort learning new technology; we use HoneyBook, Notion, Zapier, and AI tools, and we'll teach you
Reliable transportation to venues across the suburban Philadelphia area
Ability to be on your feet for long event days and to help with setup and physical tasks

Nice to Have

Prior experience assisting with weddings or events
Familiarity with the greater Philadelphia venue and vendor landscape
Experience with HoneyBook, Notion, or similar tools

Growth Path: Assistant to Lead Planner

This role is designed to grow. Progression to Lead Wedding Planner includes leading weddings independently across all package types, owning full client relationships from booking through execution, mentoring associate planners on wedding days, supporting the training and onboarding of new planners, and contributing to our scalable systems and templates. Long-term, this role may oversee multiple weddings per season with planners reporting to you.

Reviews: A formal check-in is held 90 days after start, covering conversion, social contribution, execution within hour expectations, and client and vendor feedback
