Schedule: Full-time | Monday–Friday 8:00AM-4:30PM | On-site
Compensation: Starting hourly range between $18-$24 per hour based on experience, technical capability, education, and market data—compensation level will align with demonstrated knowledge, applicable experience, and ability to contribute independently

This role serves as the first point of contact for employees, customers, vendors, and visitors while coordinating office operations, facilities activities, onboarding support, and workplace initiatives that help our teams succeed.

You'll serve as the hub for office operations, visitor management, facilities coordination, and workplace organization while partnering closely with Facilities, Human Resources, and departments throughout the organization.
Every day is different but it will almost always involve people.

Learn ACECO's office procedures, visitor management process, and workplace operations

Build relationships across Facilities, Human Resources, and department leaders

Become familiar with office systems, onboarding activities, and administrative processes

Begin managing front desk responsibilities independently
Days 31–60

Coordinate facility requests, vendors, and workplace needs

Support onboarding activities and employee administrative requests

Assist with workplace organization, meetings, and special projects

Become a trusted resource for employees and visitors
Days 61–90

Independently execute front office operations

Coordinate administrative activities with minimal supervision

Support employee engagement and workplace initiatives

Demonstrate ownership of daily office operations while identifying opportunities for improvement

What You'll Do
Office Operations & Front Desk Management

Serve as the primary front-office coordinator and first point of contact for visitors and employees

Answer incoming calls and direct inquiries appropriately
-
Coordinate incoming and outgoing mail, deliveries, and office communications
-
Maintain reception, conference rooms, common areas, and workplace readiness
-
Support office supply inventory as needed
Visitor Management & Security
-
Welcome visitors and create a professional first impression
-
Assist guests through the Visitly visitor registration process
-
Issue visitor badges and notify employee hosts
-
Maintain visitor logs and security procedures
-
Coordinate visitor coverage during planned absences
Facilities Coordination
-
Track facility requests, maintenance activities, and work orders as needed
-
Assist with coordinating vendors, repairs, and facility improvement projects
-
Support workstation setup, office moves, and workplace planning
-
Maintain facility documentation, schedules, and administrative records
Administrative Support

Maintain organized files and documentation
-
Assist departments with reporting and administrative projects

Support leadership with special projects and workplace initiatives
Human Resources Support

Support new hire onboarding readiness including workstations, office supplies, and furniture (as needed)

Support employee engagement and workplace initiatives
What We're Looking For
Education
-
High school diploma or GED required
-
Associate degree in Business Administration, Human Resources, Facilities Management, Project Management, or a related field preferred
Experience
-
Two or more years of administrative, office coordination, receptionist, facilities coordination, or customer service experience preferred
-
Experience working in a professional office environment required
-
Experience supporting facilities, HR, or workplace operations preferred
Technical Skills

Excellent customer service and interpersonal communication skills

Strong organizational and time management abilities

Ability to prioritize changing responsibilities

Microsoft Office proficiency including Outlook, Word, Excel, and PowerPoint
