Full Job Description

Overview: The Operations Coordinator serves as the organizational leader for the church ensuring that the administrative, operational and logistical aspects of congregational life are carried out with excellence, consistency, and care. Working closely with the pastor, staff, Session, committees and volunteers, this position develops and maintains the systems that allow ministry to flourish.

Qualifications and Characteristics:

Excellent organizational, project management, and multitasking abilities.
Strong written and verbal communication skills.
Proficiency with Microsoft Office 365, Google Docs, database systems, and communication platforms.
Ability to exercise discretion when handling confidential information.
Strong interpersonal skills and a heart for serving others.
Ability to work independently while collaborating effectively with staff and volunteers.
Experience in a nonprofit or religious organization, book keeping and office management a plus.

Responsibilities:

Financial Stewardship

Prepare and submit admin vouchers to the Treasurer for payment and processing of invoices.
Partner with the Stewardship Committee to process donations and generate giving statements, acknowledgement letters and year-end tax documentation.
Assist Finance Committee and Treasurer in preparing and monitoring the annual budget.
Maintain confidential records and information with integrity and discretion.

Operations & Administration

Serve as the administrator of the church’s master calendar, coordinating facility usage and preventing scheduling conflicts for worship services, ministry activities, meetings and special events.
Oversee day-to-day operations of the church office, ensuring efficient systems, organized processes, and create a welcoming environment for members, visitors and staff.
Evaluate and improve administrative procedures to enhance efficiency, streamline workflows, reduce redundancies and strengthen organization effectiveness.
Maintain accurate congregational records and databases, including contact information, membership records, and ministry participation and attendance.
Support church leadership, committees and ministry teams through administrative coordination and project management.
Monitor office and facility supplies, and place orders as needed.
Maintain accurate church records, including memberships, baptisms, confirmations, weddings and other significant congregational milestones.

Event and Ministry Support

Coordinate logistics for worship services, ministry programs, special events, and outreach activities.
Collaborate with pastor to ensure operational needs are met.
Attend church functions as needed.

Communications

Act as the primary point of contact for phone, email and in-person inquiries, responding promptly and professionally.
Prepare, print and distribute weekly worship bulletins, announcements, newsletters, and congregational email communications.
Design and coordinate flyers, banners, promotional materials, and other communication resources for church events and ministries.
Collaborate with the Communications Committee to update and maintain the church website and social media platforms.

Facility Management

Coordinate with Sexton/staff regarding maintenance, security, and cleaning of church facilities and grounds and overall stewardship of church facilities and grounds.
Manage communication with contractors, vendors, and service providers ( e.g. landscapers, HVAC technicians, repair services, etc.)
Partner closely with the Property Committee to identify, communicate, and prioritize facility repairs, improvements and maintenance records.
Attend the Property Committee’s monthly meeting and provide updates on facility operations, vendor activities, and ongoing projects.
At the direction of the Property Committee, obtain vendor proposals and quotes as needed and serve as the church’s point of contact during on-site visits, inspections and service calls.
Assist in ensuring church facilities remain safe, functional, welcoming, and aligned with ministry needs.

Pay: $25,000.00 - $30,000.00 per year
