Full Job Description

Position Overview

The Marketing & Client Engagement Coordinator role combines client service administration, appointment setting, event coordination, and marketing support. As a first point of contact for clients and prospects, you will help deliver a professional, high-touch experience while supporting the firm’s growth through workshops, community events, outbound follow-up, digital marketing, and CRM management.

This role is ideal for someone who thrives in a fast-paced, goal-oriented environment and enjoys engaging with people both over the phone and in person.

A large portion of this role is focused on relationship-building, appointment confirmation, prospect follow-up, and event-driven appointment generation. The ideal candidate must be comfortable picking up the phone, speaking with prospects, attending evening events, and helping turn marketing activity into qualified appointments.

Key ResponsibilitiesClient Service & Administrative Support

Greet and engage clients and prospects professionally in person, on the phone, and via email
Coordinate onboarding for new clients and prepare materials for advisor meetings
Manage and optimize advisor calendars to maximize efficiency
Confirm all appointments, including first meetings, second meetings, and closing meetings
Respond to inquiries or route them to the appropriate team member
Maintain a polished, welcoming reception and meeting space
Ensure client and prospect information is handled confidentially and in compliance with company policies
Log all activity, appointment updates, and lead notes in the CRM on the same day
Assist with business processing and basic administrative tasks during downtime

Sales, Events & Appointment Setting

Attend in-person workshops, seminars, and community events to engage attendees and generate new consultations
Build rapport with prospects at events and schedule one-on-one appointments when appropriate
Plan and execute event logistics, including:
Securing venues
Coordinating menus
Tracking RSVPs
Managing check-ins
Coordinating room setup
Preparing marketing materials
Acting as the main point of contact for venue and event details
Conduct same-day or next-day follow-up with attendees, no-shows, and unscheduled prospects
Make consistent outbound calls to warm leads and prospects
Reactivate dormant leads and re-engage past no-shows
Maintain follow-up cadence until prospects are scheduled, declined, or disqualified
Track and report weekly metrics, including:
Outreach activity
Appointments set
Appointment confirmations
Show rates
Conversions
Prospect source tracking

Marketing & CRM Support

Support the firm’s digital marketing efforts, including weekly social media posts, website updates, and marketing calendar coordination
Coordinate with internal or external branding/marketing partners on content, campaigns, and firm messaging
Help ensure marketing materials are professional, compliant, and aligned with the firm’s brand
Manage CRM activity, including seminar attendee lists, prospect sources, follow-up status, appointment tracking, and lead notes
Track where prospects are coming from and help identify which marketing channels and events are producing the best results
Assist with basic content coordination for workshops, events, newsletters, and client communication campaigns
Maintain organized marketing files, prospect lists, and event follow-up records

Required Qualifications: Experience & Skills

4–5 years of professional experience preferred
Experience in outbound sales, appointment setting, client service, recruiting, real estate, or another phone-heavy role
Proven success meeting or exceeding sales, service, or activity goals
Strong phone presence and confidence speaking with prospects
Comfortable making outbound calls and following up consistently
Warm, personable, and professional communication style
Strong organizational skills and attention to detail
Ability to multitask and prioritize in a fast-paced, client-centric environment
Comfortable attending and working evening events
Some marketing experience or comfort working with digital/social content
Financial services experience is a plus but not required

Education

Associate’s or Bachelor’s degree in Business, Marketing, Finance, Communications, or a related field preferred

Technology

CRM experience required
Redtail, Salesforce, or similar CRM experience preferred
Proficiency in Microsoft Office Suite
Strong calendar management skills
Comfortable working with social media platforms, websites, and basic marketing tools

Work Environment & Requirements

Office-based role with travel to workshops, seminars, and community events
Ability to support occasional evening events
Ability to sit at a desk and use a phone/computer for extended periods
Must maintain a polished, professional appearance for client-facing events and meetings
