Position Title: After-School Program Coordinator

Reports To: Head of School/Director of Operations
Position Overview
Creekstone Montessori School is seeking an organized, collaborative, and child-centered After School Program Coordinator to lead the administration and daily operations of our growing after-school program. This role combines direct program leadership with operational management and staff supervision.
The Coordinator serves as the primary point of contact for families and staff while ensuring the smooth day-to-day functioning of the program. This individual will maintain student enrollment records, manage scheduling, oversee tuition collection, support staff development, and help create a safe, engaging environment for children.
While our after-school program is not strictly Montessori, it incorporates Montessori-inspired principles, including respect for the child, independence, community, responsibility, and hands-on learning.
The ideal candidate is highly organized, solution-oriented, flexible, and enjoys balancing administrative responsibilities with direct engagement with children and staff.
Essential Responsibilities & Program Operations
- Oversee the daily operations of the after-school program
- Ensure safe and effective supervision of students throughout the program day
- Maintain student enrollment, attendance, and emergency records
- Coordinate daily schedules, staffing assignments, and student group placements
- Monitor compliance with school policies, licensing requirements, and safety procedures
- Support the development and implementation of engaging program activities
Family Communication & Enrollment
- Serve as the primary contact for families regarding program registration, scheduling, billing, and general communication
- Manage student enrollment and waitlists
- Respond promptly and professionally to parent inquiries
- Communicate program updates, closures, schedule changes, and important announcements
- Support family onboarding and orientation processes
Tuition & Administrative Management
- Coordinate tuition billing and collection processes
- Maintain accurate financial and enrollment records
- Track payments and communicate with families regarding account status as needed
- Assist the administration with budget monitoring and program reporting
- Manage program supplies and purchasing requests
Staff Leadership & Supervision
- Recruit, onboard, train, and supervise after-school staff
- Create and manage staff schedules
- Provide coaching, support, and performance feedback
- Foster a positive, collaborative team culture
- Ensure adequate staffing ratios and coverage
- Support conflict resolution and problem-solving among staff and students
Student Support
- Build positive relationships with students and families
- Support social-emotional development and positive behavior guidance
- Model respectful communication and child-centered practices
- Assist with transitions, outdoor activities, enrichment opportunities, and dismissal procedures as needed
Qualifications
- Associate's or Bachelor's degree in Education, Child Development, Human Services, Business Administration, or related field preferred
- Minimum of 2 years of experience working with children in educational, childcare, camp, or after-school settings
- Previous supervisory or leadership experience preferred
- Strong organizational and administrative skills
- Experience managing schedules, records, and multiple priorities simultaneously
- Excellent written and verbal communication skills
- Proficiency with Google Workspace and basic office software
- Montessori experience or familiarity is preferred but not required
- CPR/First Aid certification preferred (or willingness to obtain)
- Must successfully pass all required background checks

Compensation
