Full Job Description

Marcum and Sons LLC is a growing heavy civil construction company specializing in excavation, grading, underground utilities, site development, airport improvements, and public works projects throughout the State of Oregon. We are seeking a highly organized, detail-oriented, and dynamic Payroll & Office Administrator to assist our daily office operations, accounts payable, and payroll processing. In this dual role, you will work with an administrative team ensuring staff is paid accurately and on time while maintaining smooth office operations.

The ideal candidate possesses exceptional multi-tasking abilities, mastery of QuickBooks Payroll, and advanced Excel reporting skills. Experience with certified payroll and the construction industry is highly desirable and will give you a significant advantage in this role.

Key Responsibilities

Payroll & Compensation Management

End-to-End Payroll Processing: Manage, compute, and run weekly payroll accurately using QuickBooks Payroll for hourly and salaried employees.
Certified Payroll Reporting: Prepare, verify, and submit certified payroll reports in compliance with local, state, and federal prevailing wage laws (Davis-Bacon Act tracking where applicable).
Timecard Verification: Collect, review, and reconcile employee timecards and production logs, resolving any discrepancies with project managers.

Accounts Payable & Financial Support

A/P Management: Process vendor invoices, match purchase orders, verify receipts, and code expenses accurately within the accounting system.
Expense Tracking: Monitor corporate card accounts, reconcile monthly statements, and assist with month-end closing procedures.
Excel Reporting: Generate weekly, monthly, and ad-hoc financial and operational reports using Excel as needed
