About Bright Eyes MD

Bright Eyes MD is a specialized facial rejuvenation practice focused on helping patients achieve a more youthful, refreshed, and natural appearance through advanced oculoplastic and facial rejuvenation procedures.

We are looking for a highly organized, personable, and detail-oriented Patient Communications Specialist to serve as an important point of contact for prospective and current patients. This person will help guide patients through the process of learning about Bright Eyes MD, scheduling consultations, preparing for appointments, and receiving appropriate follow-up communication.

Job Description

The Patient Communications Specialist will be responsible for managing day-to-day patient communication and coordination across email, phone, social media, and scheduling systems.

The ideal candidate will be warm and professional with patients while also being highly organized behind the scenes. They should be able to answer common questions accurately, know when a question requires escalation to the physician or another team member, and consistently document information so that processes and frequently asked questions become increasingly clear and efficient.

Key Responsibilities

Patient Communication & Scheduling

Respond promptly and professionally to prospective patient inquiries via email and phone
Provide patients with accurate information regarding consultations, scheduling, pricing, deposits, and general practice processes
Answer the practice phone during business hours
Respond to basic patient questions and appropriately escalate clinical or physician-specific questions when necessary
Schedule patient consultations and manage appointment calendars
Accept and process patient payments when applicable
Send appointment confirmations and reminder messages
Coordinate patient communication before and after consultations
Ensure appropriate follow-up information is sent after consultations
Maintain accurate and organized records of patient communication and next steps

Social Media Communication

Monitor and respond to inquiries and comments on Bright Eyes MD's Instagram account that reflects the Bright Eyes MD brand
Respond professionally and helpfully to prospective patient questions
Identify when a social media inquiry should be moved to a more appropriate communication channel, such as email or phone
Maintain a warm, professional, and consistent tone that

Organization & Process Documentation

Maintain organized records and communication workflows
Document frequently asked patient questions and develop/update response guidelines
Identify recurring questions, communication gaps, or process inefficiencies
Help create and maintain standard operating procedures and internal documentation
Ensure patient follow-up tasks are completed accurately and on time
Maintain a high level of attention to detail across scheduling, communication, and documentation

Required Qualifications

Excellent written and verbal communication skills
Strong attention to detail and organizational skills
Ability to communicate with patients in a warm, professional, and reassuring manner
Ability to manage multiple conversations, tasks, and deadlines simultaneously
Comfortable answering phones and speaking directly with patients
Comfortable learning and following established processes
Strong computer literacy and ability to learn new software quickly
Comfortable using Google Workspace, including:
Gmail
Google Drive
Google Calendar
Google Voice
Google Docs and Sheets
Ability to maintain patient confidentiality and handle sensitive information professionally
Reliable, responsive, and able to work independently

Preferred Qualifications

Previous experience in a healthcare, medical, plastic surgery, oculoplastic, dermatology, dental, med spa, or other patient-facing setting
Experience with patient scheduling or healthcare practice management
Familiarity with HIPAA and patient privacy requirements

Healthcare experience is preferred but not required. A candidate with excellent communication skills, strong attention to detail, and experience in a high-touch customer service environment may be an excellent fit.

Pay: $19.00 - $28.00 per hour
