Position Overview: The Procurement Coordinator supports the end-to-end purchasing process for fast-paced human services program(s). This role receives procurement requests, obtains and compiles vendor quotations, prepares purchasing recommendations for approval, and—once approved—issues Purchase Orders (POs) to secure goods and services for delivery. The Coordinator maintains an accurate procurement catalog in SharePoint lists and/or Excel, tracking each purchase by price, tax, and total. Working without a dedicated ERP system, the ideal candidate is a detail-oriented, organized early-career professional who thrives in a rapid-response environment, communicates clearly with vendors and internal stakeholders, and is eager to learn sound procurement practices.

- Receive, review, and log incoming procurement requests from program and operations staff
- Clarify specifications, quantities, and timelines with requestors to ensure accurate sourcing
- Solicit and compile vendor quotations, comparing pricing, availability, and lead times
- Prepare clear purchasing recommendations and quote summaries for review and approval
- Issue Purchase Orders (POs) upon approval and confirm order details with vendors
- Track orders through fulfillment and coordinate delivery, resolving discrepancies as needed
- Verify received goods against POs and packing slips, and flag damaged or incorrect items
- Maintain a procurement catalog in SharePoint lists and/or Excel, separating price, tax, and total for each purchase
- Keep procurement records, POs, quotes, and receipts organized and audit-ready
- Help ensure purchases follow applicable procurement policies, approval thresholds, and contract requirements Coordinate with program teams, operations staff, and finance
- Communicate professionally with vendors on quotes, orders, delivery status, and issues
- Provide status updates to requestors and coordinate across distributed teams in a remote environment Follow established procurement best practices and standards while developing skills
- Participate in training and professional development to grow procurement expertise
- Process urgent or last-minute purchase requests in support of critical operational needs
- Provide timely procurement support during high-volume or time-sensitive periods
- Maintain flexibility to adapt to evolving program demands and priorities
Required Qualifications & Core Competencies:
- Associate or Bachelor's degree in Business Administration, Supply Chain, Procurement, Accounting, or related field (or equivalent experience);
- 0–2 years of experience in procurement, purchasing, administrative, or related support role, including internships or coursework
- Demonstrated ability to organize information accurately and manage tasks reliably (e.g., through coursework, internships, or prior roles)
- Interest in supporting high-volume, time-sensitive operations with clear documentation requirements Working knowledge of or willingness to learn:
o Microsoft Excel for tracking price, tax, and totals (formulas, sorting, filtering)
o SharePoint lists and document libraries for cataloging procurements
o Purchase Order processes and basic procurement documentation Clear written and verbal vendor communication
o Ability to manage multiple requests with fast turnaround expectations
o Strong written and verbal communication skills
o Strong attention to detail and accuracy with numbers and records Ability to work both independently and as part of a team in a fully remote environment
o Protect confidential and procurement sensitive information and immediately disclose potential conflicts of interest.

- Must show proof of eligibility to work in the U.S. Internal background check to the satisfaction of contract requirements.
