Full Job Description

POSITION SUMMARY

This role provides high-level administrative support to Pharmacy Benefit Services (PBS) Operations leadership, serving as a trusted partner who helps leaders, teams, and business partners stay organized, prepared, and positioned for success.

Responsibilities include managing complex senior level calendars, coordinating meetings, travel and expense reporting, supporting projects and space planning initiatives, and serving as a key point of contact for inquiries and communications. This role oversees scheduling, presentation development, and comprehensive meeting preparation while ensuring seamless coordination of logistics and follow-up actions.

Success in this role requires exceptional attention to detail, strong organizational and follow-through skills, sound judgment, and a proactive mindset with the ability to anticipate needs, ask forward-thinking questions, and drive execution in a fast-paced environment. Familiarity with AI-enabled productivity tools is preferred to enhance meeting preparation, documentation, and overall operational efficiency.

Primary Responsibilities

Provides administrative services for senior level leadership, including calendar management, expense reporting, and other administrative support.
Supports Pharmacy Benefit Services Operations leadership meetings, team events, and business initiatives, including event planning, coordination, communications, and day-of support as needed.
Produces, updates, and edits presentations and other materials using PowerPoint, Excel, and Word.
Leverage AI-enabled productivity tools to efficiently prepare meeting materials, agendas, summaries, and completion of follow-up actions as needed.
Handle sensitive information with the utmost discretion and always maintain confidentiality.
Process and track expense reports, ensuring timely submission and adherence to company policies.
Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
May support broader Pharmacy Benefit Services Operations administrative services projects in partnership with other teams or locations.
Communicates professionally and collaborates with internal matrix partners, leaders, team members, and business partners.
Backs up other administrative professionals when needed.
Performs additional responsibilities as assigned.

Key Qualifications

High school diploma or GED required.
3 years of experience as an Administrative Assistant, with demonstrated ability to support multiple senior leaders preferred.
Strong computer-based technical skills, including Excel (pivot tables, v-lookups), PowerPoint, Outlook, Word, MS Teams, internet/web navigation.
Health care or Pharmacy Benefit Services Operations background with general understanding of business processes preferred.
Detail-oriented with exceptional follow-up skills and the ability to think proactively, anticipate needs, and address potential challenges before they arise.
Strong written and verbal communication.
Ability to work in a production-like, fast-paced environment and adapt quickly to change, with the ability to manage, prioritize, and work on numerous projects at one time.
Strong organizational skills with the ability to work both independently and in a team environment.
Ability to consistently meet tight deadlines and work under pressure while anticipating the needs of customers, leaders, and business partners and understanding the consequences of actions.

If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.

For this position, we anticipate offering an hourly rate of 26 - 39 USD / hourly, depending on relevant factors, including experience and geographic location.

This role is also anticipated to be eligible to participate in an annual bonus plan.
