The Conference Producer is responsible for the planning, coordination, and execution of Royal Media Group conferences and live events. This role manages multiple events concurrently and owns event operations from initial planning through on-site execution and post-event wrap-up.

The Conference Producer serves as the primary operational contact for venues, vendors, and contractors and is responsible for ensuring events are delivered efficiently, professionally, and within budget. Regular domestic and international travel is required.

Responsibilities

Event Planning & Production

Manage approximately 6–8 conferences and live events annually from planning through post-event wrap-up.
Develop and maintain event timelines, production schedules, budgets, staffing plans, and operational deliverables.
Coordinate venue logistics, floor plans, room sets, signage, branding, décor, furniture, and other production elements.
Manage food and beverage planning, including menus, guarantees, timing, and banquet event orders.
Coordinate AV and technical production requirements, including staging, lighting, sound, screens, microphones, internet, and power.

Vendor & Budget Management

Serve as the primary operational contact for venues, hotels, vendors, contractors, and event partners.
Solicit and review vendor proposals, manage event expenses, and reconcile final invoices.
Coordinate general contractors, freight carriers, shipping providers, and drayage as needed.
Hire and coordinate temporary event staff, registration personnel, security, and other local support.

On-Site Execution

Travel domestically and internationally to assigned events and serve as the primary on-site operational lead.
Manage venues, vendors, AV partners, contractors, and staff during event execution.
Oversee event load-in, production schedules, strike, load-out, and return shipping.
Troubleshoot issues and make real-time operational decisions to ensure events run smoothly.

Post-Event Management

Review and reconcile final event expenses and vendor invoices.
Prepare post-event reports documenting results, vendor performance, challenges, and recommendations.
Identify opportunities to improve event operations, processes, and attendee experience.

Required Skills/Abilities

Excellent organizational and time management skills with strong attention to detail.
Strong written and verbal communication skills.
Effective negotiation, vendor management, and relationship-building abilities.
Strong problem-solving skills and sound judgment in fast-paced environments.
Ability to work independently, take initiative, and manage competing priorities.
Calm, adaptable, and solutions-oriented during live events.
Willingness and ability to travel regularly, including domestic and international travel, as well as occasional evenings and weekends.

Education & Experience

Bachelor’s degree in Hospitality, Event Management, Business, Communications, or related field preferred.
4+ years of experience in conference, corporate event, trade show, or live event planning and production.
Demonstrated experience independently managing events from planning through on-site execution.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
Repeating motions that may include the wrist, hands, and/or fingers.
Must be able to lift up to 15 pounds occasionally.
