Full Job Description

Position Overview

R & R Backhoe is seeking a detail-oriented and proactive Project Support Coordinator to provide remote administrative and operational support for construction and excavation projects. This role helps ensure projects move efficiently by coordinating schedules, maintaining project documentation, communicating with customers and vendors, and supporting internal teams throughout the project lifecycle.

The ideal candidate is highly organized, communicates effectively, and enjoys coordinating multiple tasks in a fast-paced environment while delivering exceptional customer service.

Key Responsibilities

Project Coordination

Support project activities from initial work request through project completion.
Coordinate project schedules, milestones, and administrative timelines.
Monitor project progress and communicate status updates to internal teams and customers.
Assist with organizing project documentation, contracts, permits, and work orders.

Customer Support

Serve as a primary contact for customer inquiries via phone, email, and virtual communication platforms.
Provide updates regarding project scheduling, timelines, and service requests.
Respond professionally to customer questions and coordinate resolutions with appropriate departments.
Maintain positive relationships through responsive and courteous communication.

Administrative Operations

Maintain accurate electronic project records and customer files.
Perform data entry within project management, CRM, and scheduling systems.
Prepare reports, correspondence, spreadsheets, and project documentation.
Assist with document management and administrative workflow improvements.

Scheduling & Vendor Coordination

Coordinate project calendars and appointment schedules.
Communicate with vendors, subcontractors, and suppliers regarding scheduling and documentation.
Track material requests and administrative follow-up activities.
Support internal coordination between office staff and field personnel.

Qualifications

Required

High school diploma or equivalent.
Minimum 1 year of experience in administrative support, customer service, project coordination, scheduling, construction administration, logistics, office administration, or operations support.
Excellent verbal and written communication skills.
Strong organizational, multitasking, and problem-solving abilities.
Ability to work independently in a fully remote work environment.
Proficiency with Microsoft Office, Google Workspace, and web-based business applications.

Preferred

Associate's or Bachelor's degree in Business Administration, Construction Management, Project Management, or a related field.
Experience supporting construction, excavation, landscaping, utility, property maintenance, or service-based businesses.
Familiarity with CRM systems, project management software, scheduling platforms, or document management systems.
Experience coordinating customer projects or service operations.
Previous remote work experience.
