JOB TYPE:

Part-Time: Monday–Thursday, 4:00 PM–7:30 PM, with opportunities for additional hours as needed to cover administrative staff absences.

POSITION SUMMARY

Capital Counseling is a nonprofit counseling agency dedicated to providing compassionate, accessible mental health services to individuals and families. We are seeking an organized, detail-oriented, and client-focused Receptionist to join our administrative team. This role is essential to ensuring a smooth administrative process and creating a positive experience for both our clients and clinicians across Capital Counseling, Capital EAP, and our Federal Probation programs.

The Evening Receptionist will work closely with our intake team to support client communication, run EHR reports, process records requests, assist with monthly invoice preparation, and perform a variety of general administrative duties as needed. The ideal candidate is highly organized, able to manage multiple priorities, communicate effectively, and is committed to maintaining confidentiality while delivering exceptional client-centered service.

KEY RESPONSIBILITIES

Provide administrative support by assisting with client scheduling, waitlist management, intake paperwork, new client onboarding, and other projects as assigned.
Answer phone calls, return voicemails, and respond to emails and faxes promptly and professionally.
Process records requests, including printing and preparing records, logs, and related documentation for the federal probation program.
Assist with maintaining program records within the EHR, including attendance tracking, documentation updates, and utilization reporting.
Assist with billing tasks and payment processing as needed.
Maintain accurate client records and documentation while ensuring confidentiality and HIPAA compliance.
Provide general administrative support, including mail distribution, maintaining office supplies, updating clinician schedules, and performing other office duties as assigned.
Assist clinicians with administrative and operational tasks as needed to support quality client care and efficient office operations.
Provide administrative support across programs including Capital Counseling and Capital EAP (Employee Assistance Program).
Perform other duties and special projects as assigned by the Office Supervisor, EAP Director, Finance Administrator, or Executive Director.

Requirements

Ability to use interpersonal skills to establish cooperative relationships with clients, co-workers and external customers

Qualifications

High school diploma/GED equivalent. Associate degree with administrative experience preferred.
Adherence to agency policies, confidentiality requirements, and commitment to client-centered care.
Excellent communication and interpersonal skills, demonstrating professionalism and compassion.
Strong organizational and time management abilities, with capacity to manage multiple priorities.
Proficiency with technology, including Microsoft Office, Outlook, Zoom, and basic troubleshooting.
Effective problem-solving and critical thinking skills.
Ability to work both independently and collaboratively in a dynamic environment.
