Full Job Description

As an Accounts Payable & Office Coordinator at Shinn Mechanical, you will play a crucial role in ensuring the smooth and efficient financial operations of our mechanical contracting business located in Kent, WA. Your primary responsibility will be to manage and oversee the accounts payable functions, providing accurate and timely processing of vendor invoices and payments. You will work closely with our accounting and procurement teams to maintain financial accuracy and compliance.

Key Responsibilities:

Accounts Payable:

· Invoice Processing: Receive and review vendor invoices for accuracy, completeness, and compliance with company policies.Code invoices to the appropriate general ledger accounts.Enter invoices into the accounting software for payment processing.

· Vendor Relations: Establish and maintain positive relationships with suppliers.Address and resolve supplier inquiries and discrepancies related to invoices, payments, and account statements.

· Matching: Match purchase orders, shipping receipts, and invoices to ensure that products or services are received and billed correctly.

· Payment Processing: Prepare weekly payment batch for management review. Schedule and prioritize payments to maximize early payment discounts and optimize cash flow.

· Expense Reconciliation: Reconcile and analyze vendor statements to ensure all outstanding invoices are accounted for and resolved.

Reception Duties:

· Act as the primary point of contact for clients, vendors, and visitors, ensuring a professional and welcoming environment. Greet guests, direct them to appropriate personnel, route calls, and address general inquiries or concerns.

· Assist with mail processing, including receiving, sorting, and distributing packages & letters.

· Oversee the cleanliness of the conference room and breakroom.

· Provide Administrative support to other departments as needed.

Qualifications:

High school diploma or equivalent is required; an associate degree or bachelor’s degree in accounting, finance, or a related field is a plus.

Proven experience in accounts payable, preferably in a construction or mechanical contracting environment.

Proficiency in accounting software and Microsoft Office, especially Excel.

Strong analytical and problem-solving skills.

Excellent attention to detail and organizational skills.

Effective communication and interpersonal skills.

Knowledge of Washington State sales tax regulations.

Familiarity with construction industry procurement and payment processes is a plus.s is a plus.
