Full Job Description

To assist the General Manager with managing, operating, and maintaining the cooperative. To provide the necessary services to the shareholders / owners to ensure a pleasant living environment.

General Duties:

Perform administrative office and accounts payable duties.

Assist the General Manager with employee supervision, scheduling, payroll, benefits processing, and notifying contractors of needed repairs. Process, assign, log, and follow up on shareholders service requests as needed.

Perform backup front desk and reception duties as necessary i.e. answering the telephone, checking keys in and out, checking packages in and out, etc.

Perform accounts payable duties, i.e. process invoices for payment for manager’s approval, process payments received, maintain office accounting records and related documents. Audit invoices against contracts and packing slips. Research and resolve accounts payable discrepancies.

Organize and maintain the office files and corporation documents.

Process shareholder transfers of shares information for unit purchase, i.e. resale packages, distribution of bios, applications to purchase shares, etc.

Maintain shareholder directories, door telephone directories, parking lists, admit files, key logs, etc.

Assist in processing senior citizen tax credits, homestead exemptions, and related government documents.

Post and distribute property wide documents, i.e. board minutes, notices, letters, and memos to residents by email delivery or hardcopy delivery.

Assist the General Manager with preparation of the monthly board and annual shareholders meeting materials.

Qualifications:

3-5 years experience in property management (preferably in a condominium or cooperative setting)

Ability to work independently.

Intermediate Excel skills.

Experience using BuildingLink a plus.

Experience using Jenark a plus

CMCA, AMS or PCAM highly desirable
