Patient Care CoordinatorPosition Overview

Academy Sports Physical Therapy & Performance is seeking a highly organized, personable, and proactive Patient Care Coordinator to join our health and performance team.

This role owns the first and last touchpoint of the client experience while supporting schedule utilization, efficient front-desk operations, and seamless communication between patients and clinicians.

The ideal candidate is professional, detail-oriented, and comfortable managing multiple priorities in a fast-paced healthcare environment. Previous experience in a medical, physical therapy, or similar patient-facing office is strongly preferred.

Key Responsibilities Patient Experience

Create a welcoming, professional experience for every patient
Manage patient check-in and check-out
Answer questions and help patients navigate scheduling and administrative needs
Maintain a compassionate, solutions-oriented approach to patient care

Scheduling and Clinic Throughput

Schedule evaluations, follow-up visits, and recurring appointments
Maintain waitlists and proactively fill cancellations
Support clinician schedule utilization and minimize unused appointment time
Coordinate reschedules and scheduling changes efficiently
Maintain the accuracy and integrity of the daily schedule

Patient Communication

Manage inbound phone calls, text messages, and scheduling requests
Communicate clearly and professionally with patients
Coordinate relevant updates between patients and clinicians
Follow up on incomplete intake requirements or scheduling needs

Documentation and Administrative Support

Confirm that intake forms, referrals, insurance information, and required signatures are completed
Maintain accurate and organized patient records
Support EMR accuracy and administrative compliance
Identify and resolve missing or incomplete documentation before patient visits

Clinic Operations

Maintain an organized and efficient front-desk workflow
Help ensure the clinic is prepared and ready for daily operations
Monitor schedule changes and communicate issues to the appropriate team members
Support a clean, professional, and high-performing clinical environment

Qualifications

Previous experience in a medical, dental, physical therapy, or similar office setting is preferred
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Ability to multitask and prioritize effectively in a fast-paced environment
Proficiency with electronic medical records, scheduling platforms, and general office applications
Familiarity with medical terminology and healthcare administrative processes
Professional demeanor with a compassionate, patient-centered approach
Reliable, proactive, and comfortable taking ownership of responsibilities

What Success Looks Like

The Patient Care Coordinator helps ensure that patients receive timely, respectful, and efficient service while supporting the overall performance of the clinic. Success in this role means maintaining strong patient communication, clean scheduling processes, accurate documentation, and consistent front-desk operations that allow clinicians to focus on delivering exceptional care.

Pay: $21.00 - $26.00 per hour
