Full Job Description

Fayad Law, an immigration law firm with offices in Richmond and Fairfax, Virginia is in need of a Bilingual (Spanish) Administrative Assistant for our Richmond office. We serve clients from around the globe, so this is a great opportunity for you to be in a very diverse environment while helping our clients to achieve their American Dream! This is a position for a person who is customer-focused in the Richmond metro area. You will bring with you your ability to greet the clients while taking care of the attorneys' schedules and administrative tasks to help our office to run efficiently.

Responsibilities:

Greets clients, visitors, and guests.
Receives mail, documents, packages, and courier sorts and scans them.
Maintains filing systems, ensuring client files are properly filed in a timely manner.
Shreds documents that are no longer needed.
Retrieves information as requested from client records, emails, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions.
Maintains and communicates with legal staff regarding client file travel box.
Handles payments including cash, credit card payments or checks using proper cash handling procedures, when billing personnel is not available.
Maintains office supplies and coordinates maintenance of office equipment.
Maintains the reception area, conference rooms, kitchen and general office appearance and cleanliness during working hours.
Prepares final packages for submission to government agencies for legal teams, ensuring all signatures and items are included.
Scan documents and filing in proper digital locations for file retention.
Assists paralegals with client files, communications and scheduling.
Ensure all documents are accurate, properly formatted, and comply with legal requirements.
Organize and maintain client files, both electronic and physical, in a secure and confidential manner.
Performs other related duties as assigned.

Required Skills:

Fluency in Spanish and English
A minimum of two years of experience as a legal administrative assistant.
Good writing skills in both English & Spanish languages.
Excellent customer service abilities due to regular interaction with clients
Ability to operate standard office equipment such as copier, scanner, fax machine, and personal computer
Must be very organized
Must have the ability to multi-task in a fast-paced environment and work well under pressure
Must be a self-starter, energetic, motivated, and have a positive attitude
Must possess strong computer skills and have competency in MS Word and Excel
Must have attention to details
