Counsel and Director of Trust Onboarding

Commonwealth Community Trust (CCT) is a rapidly growing nonprofit organization that administers pooled trusts for people who are vulnerable or have a disability. Our staff provides the highest quality of service based on best practices and a code of ethics. This is an opportunity to join an established, collaborative pooled trust legal team, to address interesting and diverse legal issues and to direct the Trust Onboarding Team as they work with professionals and prospects to on-board new beneficiaries. The Counsel and Director of Trust Onboarding leads the Trust Onboarding Team in guiding prospective and new clients through every stage of their onboarding experience with CCT. This position ensures that prospective and new clients receive exemplary customer service at the onset of the relationship with CCT.

This position serves as a member of the organization’s management team. Reports directly to the President/CEO.

A Full-Time, Exempt position. (Business hours are Monday – Friday, 9am-5pm)

Essential Responsibilities

Serves as a member of the organization's leadership team, working closely with the President/CEO and leadership staff to develop and execute organizational strategies, policies, procedures. Communicate initiatives that advance CCT's short- and long-term objectives, monitoring performance and outcomes and recommending course corrections as needed.
Serve as the primary point of contact for attorneys and other professionals who contact the organization. Assess the needs of each prospective client by understanding their objectives and educate them on the benefits of establishing a trust with CCT. Responsibilities include managing day-to-day inquiries, providing timely responses via email and phone, participating in meetings, following up as needed, etc.
Lead the client onboarding process from engagement to completion. Develop and continually improve procedures and workflows which include, but are not limited to, reviewing and processing Joinder Agreements and legal documents and providing correspondence to attorneys, clients, and benefits agencies. Communicate with the Client Services Team to share valuable information learned from the beginning of a new client relationship. Analyze client feedback and data to assess satisfaction, identify areas for improvement, and identify opportunities to lead and enhance the client onboarding experience to drive organizational growth.
Provide final review of legal documents such as wills, trusts, powers of attorney, court orders, qualified assignments, etc. to identify key information, determine how these documents comply or pose contrasts with CCT requirements. Collaborate with Trust Onboarding Team to relay comments as needed to attorneys, family members, etc.
Ensure new accounts meet requirements.
Lead the Trust Onboarding Committee meetings to discuss questions and action items, legal documents, and assess progress with trustee and internal projects, and ensure strong cross-functional alignment between the Trust Onboarding Team and Client Services.
Serve as a reviewer for client deposits and enrollment fees.
Represents CCT at conferences, seminars, and events as a subject matter expert on pooled trust administration and special needs trusts, delivering presentations and Continuing Legal Education (CLE) sessions to professional audiences and supporting the organization's visibility and reputation in the special needs planning community. Travel is required.
Maintain digital files: update contact information in the agency database and generate correspondence with contacts; maintain information in paperless system.
Ensure all forms and letter templates meet the organization’s professional standards and are proofread.
Performs other duties and leads special projects as directed by the President/CEO.

Supervisor Responsibilities

Supervise Trust Onboarding Team.
Foster a positive and productive work environment.
Participate in hiring process for any new members of the Trust Onboarding Team.
Set goals for performance and deadlines in ways that comply with the organization’s plans and vision.
Organize workflow and ensure that employees understand and fulfill their duties or delegated tasks.
Monitor employee productivity and provide constructive feedback and coaching during weekly one-to-one meetings.
Prepare and submit performance reports on an annual basis or as needed.
Train new employees and provide ongoing training to existing employees.
Receive complaints and resolve problems.
Pass on information from upper management to employees and vice versa.
Make recommendations for promotion to upper management.
Ensure adherence to legal and company policies and procedures and undertake disciplinary action if the need arises and in coordination with Human Resources.

Knowledge/Skills/Abilities

Intermediate/Advanced computer skills including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Teams, Monday.com, and willingness to learn databases such as Salesforce.
Strong attention to detail for narrative text (spelling, punctuation, etc.).
Ability to read and interpret data, learn and apply new information and/or skills.
Excellent organizational and time management skills (able to manage multiple tasks concurrently, adapt to changing priorities, and meet deadlines).
Excellent customer service skills and ability to communicate verbally and in writing with the general public and people with disabilities.
Ability to review legal documents and provide comprehensive analysis.
Strong writing and editing skills, including drafting articles for newsletters, professional journals and other publications.

Level of Education & Work Experience

Juris Doctor (J.D.) required with active Virginia Bar License
5 years’ total experience preferred
2+ years of legal experience in estate planning, wills, trusts, probate, or related practice areas preferred.
Demonstrated experience reviewing and interpreting legal documents such as trusts, wills, powers of attorney, court orders, or settlement agreements.
Prior supervisory or team leadership experience strongly preferred.
Experience using Microsoft Office, including Word, Excel, PowerPoint, and Outlook and ability to learn new software.
Any experience with the special needs community is a plus.

Salary and Benefits

The salary range for this position is $100,000 to $125,000, based on experience and credentials. CCT offers vacation and paid time off, a health benefit, short-term and long-term disability insurance, life insurance, and a 403(b)-retirement plan. CCT is an equal opportunity employer.
