Full Job Description

The Senior Property Administrator provides comprehensive administrative, financial, and operational support to the Property Management team, with primary responsibility for property accounting functions, accounts payable administration, tenant billing support, and vendor management. This role serves as a key liaison between property management, accounting, tenants, vendors, and ownership to ensure accurate financial reporting, timely invoice processing, exceptional customer service, and efficient day-to-day building operations.

Essential Duties and Responsibilities

Property Accounting & Accounts Payable

Serve as the primary administrator for all property accounts payable functions.
Review, verify, code, and process vendor invoices for multiple commercial properties, ensuring accuracy and compliance with approved budgets and contracts.
Match invoices to purchase orders, service contracts, and work orders prior to approval.
Coordinate invoice approvals with Property Managers and ensure timely submission for payment.
Research and resolve invoice discrepancies, billing disputes, and vendor payment inquiries.
Maintain organized electronic and hard-copy accounts payable records in accordance with company policies.
Assist with month-end closing procedures by ensuring invoices are processed accurately and within required deadlines.
Monitor vendor statements and reconcile outstanding balances.
Prepare and process tenant bill-backs, miscellaneous invoices, and other receivables as required.
Assist with rent collections by monitoring delinquent accounts, preparing past-due notices, communicating with tenants regarding outstanding balances, and coordinating legal notices when necessary.
Maintain accurate financial records supporting annual audits and internal accounting reviews.

Budgeting & Financial Reporting

Assist Property Managers with the preparation of annual operating budgets and capital expenditure budgets.
Collect vendor pricing and competitive bids for budget planning.
Assist with monthly financial reporting, variance analysis, forecasting, and operating expense tracking.
Research budget variances and provide supporting documentation and explanations.
Assist with Common Area Maintenance (CAM) reconciliations, operating expense calculations, and tenant billing adjustments.
Track service contracts and recurring expenses to ensure budget compliance.

Property Administration

Provide administrative support to Property Managers for a portfolio of commercial office properties.
Maintain property files, lease documents, vendor contracts, certificates of insurance, permits, and regulatory documentation.
Track tenant and vendor insurance certificates and ensure compliance with lease and contract requirements.
Prepare correspondence related to insurance compliance, lease administration, and tenant communications.
Answer and direct incoming calls while providing exceptional customer service to tenants, vendors, and visitors.
Process incoming mail, overnight deliveries, and electronic correspondence.

Tenant & Vendor Relations

Respond promptly to tenant requests and coordinate maintenance services with engineering staff and outside contractors.
Create and monitor work orders through the property management system.
Follow up with vendors and tenants to ensure work is completed satisfactorily and in a timely manner.
Build positive relationships with tenants to promote satisfaction and long-term retention.
Coordinate tenant move-ins, move-outs, suite inspections, and welcome packages.
Coordinate tenant signage installations and building directory updates.

Vendor & Contract Administration

Solicit competitive bids for maintenance, repairs, and capital improvement projects.
Coordinate vendor walkthroughs with Property Managers and building engineers.
Maintain vendor contracts, W-9s, insurance certificates, and licensing documentation.

Property Operations

Assist with routine property inspections and document maintenance deficiencies.
Coordinate corrective actions with maintenance staff and contractors.
Support emergency response efforts and communicate building updates to tenants when necessary.
Assist with maintaining compliance with building policies, safety procedures, and lease requirements.

Tenant Engagement

Coordinate tenant appreciation events and community-building activities.
Support tenant retention initiatives through proactive customer service and engagement.

Professional Development

Participate in industry organizations such as BOMA and IREM.
Remain current on commercial property management practices, accounting procedures, and industry trends.
Perform other duties and special projects as assigned.

Preferred Qualifications

Experience processing high-volume accounts payable within commercial real estate or property management.
Working knowledge of property management and accounting software (Yardi, MRI, Nexus, AvidXchange, or similar platforms).
Strong understanding of commercial leases, CAM reconciliations, operating expenses, and property accounting principles.
Excellent organizational skills with exceptional attention to detail and accuracy.
Ability to prioritize multiple deadlines while maintaining a high level of customer service.
Strong communication and interpersonal skills with the ability to work effectively with tenants, vendors, contractors, and internal departments.
Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
