Position Summary
The Senior Accounting Assistant / Payroll Processor plays a vital role in supporting the Accounting Department and overall bank operations through a variety of accounting, general ledger reconciliation, payroll, and regulatory reporting responsibilities. This position offers broad exposure to bank accounting functions and works closely with multiple departments throughout the organization.
Key ResponsibilitiesDaily Responsibilities
- Reconcile correspondent bank accounts, including the Federal Reserve Bank and First National Bankers Bank.
- Support bank-wide cash management activities.
Payroll & Benefits Administration (Bi-Weekly)
- Process payroll through ADP, including wage changes, hours, and employee information updates.
- Serve as the primary liaison between ADP and the Bank.
- Review payroll reports for accuracy and compliance.
- Reconcile and submit 401(k) contributions and employer matching through VOYA.
- Monitor payroll deductions and coordinate with vendors to resolve discrepancies.
Monthly Responsibilities
- Manage lease billing and rent collection tracking.
- Reconcile accounts receivable, fixed asset, general ledger, and DDA accounts.
- Monitor official checks and related reporting.
- Distribute issued-but-not-paid check reports to branch locations.
- Prepare regulatory and financial reports, including:
- Bad debt reserve reporting
- Department of Labor reporting
- Insurance waiver reporting
- Generate ADP reports and verify insurance waiver payments.
- Quarterly Responsibilities
- Review and adjust TRUPS interest accruals.
Annual Responsibilities
- Assist with year-end close activities and general ledger close-out processes.
- Prepare salary accrual calculations and related journal entries.
- Update accounting policies, procedures, and departmental manuals.
Additional Duties
- Provide backup support for accounting and finance functions.
- Partner with Human Resources on payroll and reporting matters.
- Manage correspondent bank communications and documentation.
- Support municipal collateral pledging activities.
- Maintain disaster recovery and records retention files.
- Assist with general ledger maintenance and reconciliation initiatives.
- Perform other accounting, regulatory reporting, and compliance-related duties as assigned.
Qualifications Required
- Bachelor's degree in Accounting; or
- Five (5) years of related bank accounting experience; or
- An equivalent combination of education and experience.
Preferred
- Banking experience strongly preferred.
- Experience with ADP payroll systems.
- Experience with 401(k) administration.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to manage multiple priorities and recurring deadlines.
- Strong communication and teamwork abilities.
